PRIMARY FUNCTION:

The Registration Clerk, Ophthalmology is responsible for providing reception, appointment scheduling, and registration duties in both the non-urgent and emergency eye clinic locations.  The Registration Clerk, Ophthalmology is also responsible to book and reschedule appointments, diagnostics and procedures in the health information system.

 

Within this role the employee is accountable for contributing to the delivery of the Kingston Health Sciences Centre’s strategy.  As an employee, one must demonstrate an awareness of and be responsible for actively promoting and supporting patient and family centered engagement and care in all we do.

 

 

PRINCIPLE RESPONSIBILITIES:

  • Confirms with hospital health record system, the patient’s demographic data and updates as necessary. Obtains patient demographic, insurance information and other relevant data for registration and obtains appropriate signatures, addressograph card or label.
  • Creates and activates visits within the hospital’s health record system. Schedules clinic appointments, diagnostics, and procedures. Cancels and/or reschedules clinic appointments, and distributes appointment slips as required.
  • Utilize strong customer service skills to triage telephone calls, greet in-person patients and visitors, answer general inquiries transfer calls to appropriate staff all while being tactful, diplomatic and courteous.
  • Generates and distributes clinic utilization lists, ad hoc reports, elements of paper charts and patient labels.
  • Follows downtime procedures during computer shut down and emergency
  • procedures.
  • Collaborates with other Registration and clinic staff to manage the centralized registration process, and to efficiently and effectively resolve issues that may arise with patients and caregivers.
  • Demonstrates knowledge and understanding of the importance of compliance with KHSC policies and procedures associated to Privacy and Confidentiality.

 

 

QUALIFICATIONS:

  • 2-year Office Administration Diploma or equivalent combination of education and experience.
  • Microsoft Office Level 2 – Excel and Word will be tested.
  • Keyboarding with 35 wpm and 90% accuracy will be tested.
  • Medical Terminology proficiency will be tested.
  • Ability to navigate the Internet required.
  • Demonstrated ability to communicate effectively, courteously and professionally.
  • Demonstrated ability to follow verbal and written instructions.     
  • Demonstrated evidence of strong organizational skills.
  • Demonstrated ability to cope with frequent interruptions, while maintaining registration service delivery turnaround timelines.
  • Strong customer service skills required.
  • Proven ability to attend work regularly.
  • Satisfactory criminal reference check and vulnerable sector search required.
