PRIMARY FUNCTION
Reporting to the Director of Professional Practice, this position supports the efficient functioning of the Professional Practice portfolio by providing confidential, coordination and administrative support to the Director, Leaders and other staff as required. This role will primarily be involved in coordinating and developing/administering processes related to medical directives, delegated controlled acts, clinical policies, and mandatory regulatory college reporting for practice and conduct matters. In addition, this position will obtain, extract and analyze information for the purpose of reporting on department strategic priorities, purchasing/invoicing/requisition processing and reconciliation, and internal education funding opportunities. Lastly, this position plans and coordinates special events, meetings and retreats working collaboratively with internal and external stakeholders.
This role provides back-up and cross coverage for the Administrative Assistant, Professional Practice during planned or unplanned absences.
RESPONSIBILITIES & DUTIES INCLUDE:
- Support the Director, and as required, support Professional Practice Leaders through expense submissions, management of scholarships and grants, purchasing/invoice/requisition coordination, setting up meetings.
- Back-up for Administrative Assistant, Professional Practice during expected or unexpected absences.
- Coordinate and oversee processes related to medical directives (MDs) including: addition of new MDs, renewals, revisions, deletions, and maintenance of KHSC’s repository.
- Coordinate and oversee processes related to delegated controlled acts (DCAs) including: addition of new DCAs, renewals, revisions, deletions, and maintenance of KHSC’s repository.
- Coordinate and oversee processes related to clinical policies including addition of new clinical policies, renewals, revisions, deletions, and maintenance of KHSC’s repository.
- Oversees the verification process for regulated Nursing and Allied Health professions and is the holder of confidential mandatory reporting documentation to regulatory colleges.
- Pulls, synthesizes, and submits data related to Professional Practice quality improvement initiatives.
- Plan and coordinate special events, meetings, and retreats, ensuring arrangements, speakers, teleconferencing and audiovisual equipment bookings, room set-ups, preparation and distribution of pertinent materials for meetings and special functions.

BASIC QUALIFICATIONS:
- 2 years Office Administration diploma or equivalent education and experience.
- 3 - 5 years recent experience in a Health care or academic setting.
- Advanced Microsoft Office Experience (Excel, PowerPoint, Outlook).
- Demonstrated experience communicating at senior level via email, verbal, and formal written correspondence.
- Demonstrated ability to collate information from various sources and report back in formal and informal documentation.
- Ability to attend work on a regular basis.
- Previous experience with an electronic health information system for data collection and synthesis purposes.
- Proven ability to attend work regularly.
- Satisfactory criminal reference check and vulnerable sector search required.
