POSITION SUMMARY: Under the direction of the Superintendent, performs advanced and multi-functional administrative, operational, and accountability support duties for the District. Responsibilities include coordination of student accountability systems, state and federal reporting, operational support services, financial and records management support, and technical assistance to district and school staff. The position exercises independent judgment, analyzes data for accuracy and compliance, prioritizes competing district operational needs, and coordinates processes across multiple functional areas in support of district operations. Due to the small size of the district and operational needs, employees may perform duties across multiple functional areas in support of district operations.Performs audits at all schools ensuring all required information is maintained and all student records are up to date and accurate in the student accountability system. Supports the Director of Business Services with financial monitoring and reporting. Under direct supervision of the Superintendent to perform a wide variety of accountability duties and all State reporting.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Coordinate and provide training and technical guidance to district staff regarding student information systems, accountability procedures, reporting requirements, and operational processes.Train staff to ensure proper data input to the school accountability system and their responsibilities for financial procedures.
  2. Independently prioritize and respond to time-sensitive operational and technical issues affecting district accountability systems and reporting functions.Technical support issues take priority over all other duties.
  3. Analyze, monitor, and verify student accountability and operational data to ensure accuracy, compliance, and timely reportingVerify data in student accountability system is consistent with actual student information.
  4. Perform accountability audits to ensure information is updated timely and accurately reported to Nevada Department of Education.
  5. Analyze and resolve reporting discrepancies, data inconsistencies, and system errors impacting state reporting and district accountability submissions.Trouble shoot state report extracts where necessary to verify all information is being reported.
  6. Assist Testing Coordinator and Superintendent in keeping all records regarding student testing, data entry, tests, forms, etc.
  7. Verify records are managed and retained per Nevada Local Government Retention Schedule.
  8. Transfer student accountability data to the state as necessary.
  9. Report to the Superintendent on status of State Report Extracts.
  10. Prepares and submits all accountability information to the Department of Education, Department of Agriculture, etc.
  11. Attend weekly NDE, IC, etc. calls as well as monthly meetings.
  12. Present a helpful and positive approach when working with staff, students, and the public.
  13. Reporting.
    1. Audit all monthly reports from school secretaries.
    2. Analyze Nevada Report Card report for accuracy.
    3. Review and analyze all report/data from Silver Share website.
    4. Website duties.
    5. Other state reports as requested.
  14. Coordinate with the Director of Business Services in monitoring financial processes, preparing reports, and supporting implementation of the district budget.Assist Director of Business Services in the presentation and implementation of the school district?s annual budget.
  15. Coordinates district operational processes related to accountability, compliance, reporting, business services, and administrative support functions
  16. Prepare and submit reports required by Nevada Department of Education, Nevada Department of Taxation, and other governmental agencies.
  17. Verify, reconcile, and process accounts payable for compensation to vendors on a weekly basis.
  18. Document, process, and notify parents and school districts of approved or denied variance requests.
  19. Oversee use of facility and use of equipment at all schools by providing requirements to users, approving requests, and notifying schools of use.
  20. Provide operational and administrative support for recruitment activities, position postings, and employment processes.Support Human Resource Specialist with recruitment and posting positions.
  21. Maintains confidential student, personnel, financial, and operational information in accordance with applicable laws, regulations, and district procedures.
  22. Updates and maintains district website and social media communications.
  23. All other related job duties as needed or assigned

KNOWLEDGE, SKILLS AND ABILITIES:

  1. Knowledge of Microsoft Office suite of applications, as well as specialized software used for Student Information.
  2. Knowledge of Nevada Reporting Requirements.
  3. Knowledge of data collection.
  4. Ability to exercise independent judgment, prioritize competing operational demands, and maintain confidentiality while coordinating multiple district-wide functions.
  5. Ability to exercise independent judgment in prioritizing assignments, analyzing data, resolving operational issues, and ensuring compliance with state and district requirementsAbility to use good judgment in applying and established guidelines to solve work problems.
  6. Ability to work independently in completing assigned tasks and in maintaining the standard correspondence, files, and reports of the office.
  7. Ability to quickly master the District?s database software.
  8. Ability to deal courteously with the public and obtain the information necessary to assist them.
  9. Ability to work and communicate effectively with all people contacted in the work environment.
  10. Ability to understand and carry out moderately complex written and oral instructions.

POSITION REQUIREMENTS:

Education and Training:

  1. High School Diploma or equivalent
  2. Three to five years of computer related experience; or
  3. Two-year college certificate in computer related field.

Environmental Conditions: Climate-controlled office setting with temperatures ranging from mild to moderate cold/heat. Exposure to noise levels ranging from moderate noise to loud for occasional to frequent time periods.

Hazards: Furniture, office equipment, communicable diseases, chemicals and fumes (as related to specific assignment), and power/hand-operated equipment and machinery (as related to specific assignment).
