The Accountant’s primary focus is on accounts payable and accounts receivable processes, with an emphasis on accuracy and efficiency. They also provide regular financial functions and administrative support to the Director of Finance. They prepare, review, and process financial entries and reports in a timely and accurate manner, utilizing available technology and tools to enhance productivity. They assist with other finance team functions as assigned and follow all finance department policies while ensuring the confidentiality and integrity of all financial information.
Essential Job Functions
Accounting & Finance Operations
- Manage accounts payable processes, including monitoring email inboxes, entering general ledger coding, processing invoices, posting transactions, printing and mailing checks.
- Maintain accurate vendor and customer records, including W-9 collection, address updates, and payment preferences.
- Assist with annual 1099 preparation and distribution.
- Manage deposit processes, including monitoring email inboxes, entering deposits, posting transactions, reconciling accounts.
- Assist in the preparation of grant reports as directed.
- Assist in the maintenance of accurate and timely financial records by entering, processing and reconciling transactions as assigned in accordance with established procedures and formats.
- Manage documentation and filing of financial records in electronic and/or paper formats, supporting organized, accessible, and secure recordkeeping practices.
- Help resolve discrepancies with vendors by initiating phone calls and emails and following up as needed.
- Communicate effectively with internal departments to ensure accurate coding, timely approvals, and resolution of financial questions.
- Follow all finance department policies and procedures.
- Maintain confidentiality and integrity of all financial information.
- Demonstrated curiosity and openness to learning and using emerging technologies, including AIassisted tools, to improve efficiency and accuracy in accounting processes.
