DUTIES AND RESPONSIBILITIES

Record Keeping & Information Management
  • Manage and maintain file records: Filing of weekly check runs, deposits and other records. Create new records and update existing files accurately to ensure data integrity. This will include both physical and electronic files. 

  • Oversee file archiving: Transfer outdated files to inactive storage in strict accordance with company maintenance and legal guidelines. This will include both physical and electronic files. 

  • Respond to information requests: Retrieve requested files and answer internal inquiries promptly and efficiently.

Data Entry & Financial Tracking

  • Process financial data: Enter cash receipts into company software, prepare bank deposits, and handle general data entry.

  • Manage utility and Maintenance invoicing: Input utility invoices, track water usage via spreadsheets, and proactively communicate any high-usage anomalies. Process Maintenance reimbursement invoices. 

  • Maintain organizational spreadsheets: Create, update, and manage Excel and Google Sheets to track company vehicles, property insurance policies and optimize office workflows.

Office Operations & Support

  • Provide clerical support: Assist with general administrative and clerical duties to ensure smooth daily operations.

  • Serve as operational backup: Support the Office Assistant with daily mail distribution, bank deposits, and post office runs.

  • Other Duties as may be assigned

QUALIFICATIONS

Required:

  • High school diploma or equivalent

Preferred:

  • 2 year’s accounting experience with an emphasis on Accounting related duties.

  • Communication skills both written and verbal.

  • Proficiency in Microsoft Office, Google suite and excellent written and verbal communication skills along with the ability to work effectively in a team and individually.

  • A regular and reliable record of attendance and punctuality.

  • Ability to prioritize and multitask efficiently in addition to attention to detail  

Work Hours: 40 hours per week.  Monday - Friday 8am to 5pm.  1 hour lunch.
