We are currently seeking: Accounting Specialist (Accounts Payable Focus)

Position Summary

The Accounting Specialist is responsible for supporting the day-to-day financial operations of the organization, with a primary focus on accounts payable processing and general accounting functions. This role ensures that financial transactions are recorded accurately and in compliance with company policies and generally accepted accounting principles (GAAP). The ideal candidate brings hands-on experience in AP workflows, a solid foundation in bookkeeping or general accounting, and a detail-oriented mindset.

Responsibilities

Accounts Payable (AP)

• Review, code, and process vendor invoices in a timely and accurate manner.
• Obtain appropriate approvals for invoices prior to payment.
• Reconcile vendor statements and resolve discrepancies or disputes promptly.
• Maintain and update vendor master records, W-9s, and 1099 documentation.
• Prepare annual 1099 filings in compliance with IRS requirements.
• Monitor AP aging reports and communicate outstanding items to management.

General Accounting & Bookkeeping

• Assist with monthly, quarterly, and year-end close processes including journal entries and accruals.
• Reconcile assigned balance sheet accounts
• Prepare and post recurring and adjusting journal entries with appropriate supporting documentation.
• Analyze expense trends and flag unusual variances for review.
• Assist with fixed asset tracking, depreciation schedules, and capital expenditure reporting.

Qualifications

Required

• Associate’s or Bachelor’s degree in Accounting, Finance, Business, or a related field — OR equivalent combination of education and work experience.
• Minimum 2 years of hands-on accounts payable experience.
• Demonstrated experience in general accounting or full-cycle bookkeeping.
• Working knowledge of GAAP principles and accounting fundamentals.
• Proficiency with accounting software (e.g., QuickBooks, Sage, NetSuite, or similar ERP).
• Intermediate Microsoft Excel skills (pivot tables, VLOOKUP/XLOOKUP, formulas).
• Strong attention to detail and accuracy with numerical data.
• Ability to prioritize and meet deadlines in a fast-paced environment.
• Excellent organizational, communication, and problem-solving skills.

Preferred

• Bachelor’s degree in Accounting or Finance.
• Experience with automated AP platforms (e.g., Bill.com, Tipalti, Coupa).
• Understanding of sales/use tax and 1099 reporting obligations.
