Position Summary

The Accounts Payable Clerk plays an important role in supporting the Resort's financial operations by processing invoices, maintaining vendor accounts, managing payment activities, and assisting with cash-handling functions. This position works closely with vendors, department leaders, and the Finance team to ensure timely and accurate processing of financial transactions.

Success in this role requires attention to detail, strong organizational skills, and a commitment to providing excellent internal customer service.

What You'll Do

Accounts Payable & Vendor Support

  • Process incoming invoices and ensure accurate coding and timely payment.
  • Open, sort, distribute, and file daily mail related to accounts payable activities.
  • Reconcile vendor statements and resolve discrepancies promptly.
  • Communicate with vendors regarding outstanding invoices, payment inquiries, and account questions.
  • Respond to accounts payable phone calls and email inquiries professionally and efficiently.
  • Process stop payments, voids, and replacement checks when necessary.
  • Maintain vendor files and ensure compliance with Accounts Payable procedures and company policies.
  • Process off-cycle payments and special check requests as needed.

Financial Operations

  • Scan and maintain electronic records of invoices and check payments.
  • Assist with weekly check runs and payment processing.
  • Manage daily deposits and prepare cash over/short reports and cash activity reports.
  • Process petty cash reimbursements and change order requests.
  • Issue and reconcile employee banks and assist with periodic cash audits.
  • Maintain resort license tracking spreadsheets and coordinate renewal activities.

Team Support

  • Assist the Finance Department with special projects and reporting initiatives.
  • Identify opportunities to improve efficiency and accuracy in accounting processes.
  • Perform additional accounting and administrative duties as assigned.

What We're Looking For

Education & Experience

  • High School Diploma or GED required.
  • Minimum of two years of Accounts Payable, Accounting, Bookkeeping, or related financial experience.
  • Hospitality accounting experience is a plus.
  • Knowledge of Florida Sales and Use Tax regulations preferred.

Skills & Qualifications

  • Strong attention to detail and accuracy.
  • Excellent organizational and time-management skills.
  • Strong verbal and written communication abilities.
  • Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
  • Ability to work independently while also contributing to a collaborative team environment.
  • Comfortable handling confidential financial information.
  • Strong problem-solving and analytical skills.
  • Experience with accounting systems and financial software preferred.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.

Physical Requirements

  • Work is primarily performed indoors in a climate-controlled office environment.
  • Position requires sitting for extended periods while working at a computer and reviewing financial documents.
  • Must be able to sit at a desk for up to five hours at a time.
  • Frequent standing, walking, bending, reaching, and light lifting may be required throughout the workday.
  • Must be able to lift and carry items weighing up to 25 pounds.
  • Requires manual dexterity to operate computers, calculators, scanners, telephones, and other office equipment.
  • Requires visual acuity for reviewing financial documents, spreadsheets, and electronic records.
