THE POSITION

DESCRIPTION OF WORK


This position provides essential administrative and operational support that helps the Bureau of Abandoned Mine Reclamation function efficiently. You will assist with financial tracking, contract coordination, record management, and other key processes. As an Administrative Assistant 1, you will perform the following duties:

  • Financial Tracking: Review open commitments, evaluate analysis reports, and assist in maintaining funding sources across multiple programs
  • Grant and Trust Fund Support: Monitor trust fund activity, track income and expenses, and prepare summary information for program leadership
  • Contract Coordination: Review contract needs and existing contracts, prepare procurement documents, support emergency contracting, and help monitor contractor compliance
  • Record Management: Track retention deadlines, coordinate updates to retention schedules, ensure proper e-filing, and respond to Right-to-Know requests
  • Technology and Inventory Oversight: Maintain computer inventories, assign equipment to staff, and coordinate necessary service requests

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:00 AM to 4:00 PM, Monday - Friday, with a 30-minute lunch.
  • The headquarters location for this position will be based on the selected candidate. The two location options are as follows:
    • Cambria District Office - 286 Industrial Park Road, Ebensburg, PA 15931
    • Wilkes-Barre District Office - 2 Public Square, Wilkes-Barre, PA 18701
  • Telework: You may have the opportunity to work from home (telework) part-time, up to 3 days per week. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office. The ability to telework is subject to change at any time. Additional details may be provided during the interview.
  • Salary: In some cases, the starting salary may be non-negotiable.

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Such training as may have been gained through graduation from a four year college or university or any equivalent combination of experience and training.

Other Requirements:

  • You must be able to perform essential job functions.


This position is subject to the provisions of a collective bargaining agreement or memorandum of understanding.


You must be eligible for selection in accordance with merit system employment regulations.

    • Medical Records Assistant
    • Secretarial Supervisor 1 (Local Government)
  • Employees who previously held regular civil service status in the job title of the position being filled are also eligible for promotion without examination.
  • The promotion without examination requirements are issued in accordance with merit system employment regulations.
  • Meritorious service is defined as (a) the absence of any discipline above the level of written reprimand during the 12 months preceding the closing date of the posting, and (b) the last regular or probationary performance evaluation showing an overall rating of satisfactory or higher. 
  • Applicants must have a minimum of one year in the next lower classes by the posting closing date with no break in service.
