Job Description

The University of Nevada, Reno is recruiting for an Administrative Assistant 3 for the Curricular Affairs Team at the School of Medicine. The office for this position is located on W. Moana Lane. This position will coordinate clinical educational medical student experiences in one or multiple specialties throughout multiple medical settings in northern Nevada. This position supports directors, students, and faculty in the coordination of these programs.

Once trained, synthesize information, and provide operational-level analysis to leadership about program administration. Under general supervision of and in conjunction with the Clerkship Director, the coordinator is responsible for coordinating the day-to-day operations for clerkships. The coordinator provides support for medical students throughout their training experience, acting as liaison between residents, providers, and medical students.

Job duties include:

  • Compile mid-course and final grade information. Prepare and distribute semi-annual and annual student evaluation summary reports

  • Create and consistently maintain confidential files for each medical student

  • Communicate and check in with students to ensure students are keeping up with their assignments, such as patient logs or other homework to help the student avoid the risk of failing a clerkship

  • Assess availability and capacity for rotations at multiple locations

  • Participate in faculty and department meetings to discuss clerkship and elective administration and management

  • Plan and facilitate clerkship orientations

  • Proctor National Board of Medical Examiners (NBME) Shelf examinations per procedure at the end of each clerkship rotation

Essential Qualifications

  • Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR

  • One year of experience as an Administrative Assistant II in Nevada State service; OR

  • An equivalent combination of education and experience as described above. 

Schedule

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.

Compensation Grade

Grade 27

In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate’s qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
