About the Department
Provide administrative support for Airport Staff. Provide support and direction to staff members and citizens.
Position Duties
- Answer and route incoming calls, greet visitors both internal and external
- Open, sort and route incoming mail
- Prepare payroll and personnel forms
- Accounts Payable, Accounts Receivable, Petty cash
- Enter all receipt batches in appropriate software and prepare bank deposits
- Manage security badge control, airfield gate card control, building access control, and parking tag records along with other Trusted Agent responsibilities
- Manage office supplies & janitorial supplies
- Perform airport tours
- Manage reservations of conference room
- Prepare agenda for Airport Advisory Board, take minutes and prepare agenda packets for board members – give update on airport activity
- Gather information to develop and monitor airport activity and statistical reports on a monthly, quarterly, and annual basis
- Record Retention Officer
- Process Helicopter permits
OTHER JOB FUNCTIONS:
- Assist in maintaining and preparing tenant leases and contracts
- Assist in preparing Airport Advisory Board communications, Half Cent Sales Tax Board and City Council communications
- Assist with maintaining airport website
- Assist with preparation of annual budget
- Assist with managing cash receipts from parking system
- Performs other related duties as assigned.
SKILLS, KNOWLEDGE AND ABILITIES:
- Must be able to complete the Trusted Agent certification within 60 days of employment
- Must be able to pass a 10-year criminal history check (per FAA guidelines)
- Must possess extensive knowledge of administrative duties and be able to handle a variety of interruptions while continuing to follow through with project or routine assignment.
- Must have a comprehensive knowledge of modern office methods, practices, and procedures
- Must have experience and extensive knowledge of Adobe Acrobat, FoxIt Phantom PDF, Office, Microsoft Excel, and Microsoft PowerPoint
- Must be able to prioritize and move from one project to another as needed.
- Must be able to work independently
- Must be able to properly handle confidential information
- Must have the ability to establish and maintain effective working relationships with others and the ability to exercise independent judgment and make sound decisions
- Must be able to sit 7 hours daily; twist 2 hours daily; stand 1 hour daily; bend, stoop, turn and walk 30 minutes daily; lift carry, push and pull up to 10 lbs 15 minutes daily
Minimum Qualifications
Education and Experience:
- Must possess Associate’s Degree or other related two-year vocational certificate
- One year of clerical or secretarial experience, prefer three years.
- Must have a valid Texas Class “C” driver’s license
