Position Summary The Receptionist / Administrative Assistant is the first point of contact for visitors, employees, and business partners. This role provides front-office support while assisting multiple departments with administrative tasks in a fast-paced utility construction environment. The ideal candidate is organized, professional, and able to juggle priorities while supporting both office staff and field operations.
Key Responsibilities
- Greet visitors, vendors, and employees in a professional and friendly manner
- Answer and route incoming phone calls and emails
- Maintain a clean, organized, and welcoming reception area
- Coordinate visitor access, meeting rooms, and basic office logistics
- Provide administrative support to operations, HR, accounting, and management teams
- Assist with data entry, filing, scanning, and document organization
- Prepare correspondence, reports, and basic spreadsheets as needed
- Track and distribute incoming and outgoing mail and packages
- Help manage office supplies, uniforms, PPE, and equipment tracking
- Coordinate calendars, meetings, and travel arrangements
Qualifications
- High school diploma or equivalent (associate degree preferred)
- 1–3 years of experience in a receptionist or administrative support role
- Experience in construction, utilities, or field-based industries preferred
- Strong communication and customer service skills
- Proficiency in Microsoft Office (Outlook, Word, Excel)
- Ability to multitask, prioritize, and work independently
