Job Description

Position Summary The Receptionist / Administrative Assistant is the first point of contact for visitors, employees, and business partners. This role provides front-office support while assisting multiple departments with administrative tasks in a fast-paced utility construction environment. The ideal candidate is organized, professional, and able to juggle priorities while supporting both office staff and field operations.

 

Key Responsibilities

  • Greet visitors, vendors, and employees in a professional and friendly manner
  • Answer and route incoming phone calls and emails
  • Maintain a clean, organized, and welcoming reception area
  • Coordinate visitor access, meeting rooms, and basic office logistics
  • Provide administrative support to operations, HR, accounting, and management teams
  • Assist with data entry, filing, scanning, and document organization
  • Prepare correspondence, reports, and basic spreadsheets as needed
  • Track and distribute incoming and outgoing mail and packages
  • Help manage office supplies, uniforms, PPE, and equipment tracking
  • Coordinate calendars, meetings, and travel arrangements

 

Qualifications

  • High school diploma or equivalent (associate degree preferred)
  • 1–3 years of experience in a receptionist or administrative support role
  • Experience in construction, utilities, or field-based industries preferred
  • Strong communication and customer service skills
  • Proficiency in Microsoft Office (Outlook, Word, Excel)
  • Ability to multitask, prioritize, and work independently
