This position is located at the SC Department of Behavioral Health and Developmental Disabilities (DBHDD) - Office of Mental Health, Coastal Empire Community Mental Health Center, 1050 Ribaut Rd., Beaufort, SC 29902.
As the Front Desk Support Staff, working under the direct supervision of the Support Staff Supervisor of the Beaufort Clinic of Coastal Empire Community Mental Health Center, you will perform all administrative functions of the Beaufort Clinic as appropriate and directed in support of staff and the delivery of services in the Beaufort Clinic. Responsibilities for the Front Desk Support Staff:
- Centralize scheduling for service providers in the Beaufort Clinic including psychiatrists, nurse practitioners, clinicians, and other service staff as directed. Make reminder calls and cancellation/rescheduling calls as directed/appropriate.
- Complete/Process patient intakes. Answer phones and direct calls. Collect and distribute mail, faxes and all correspondence. Create and mail client correspondence as requested/directed. Maintain office equipment and office inventory. Provide general clerical tasks in support of clinical work (correspondence, scheduling/rescheduling, reports, etc. as appropriate/directed). Manage and ensure required annual Electronic Medical Records (EMR) record information is recorded and electronic signatures are captured.
- Manage annual client financial reviews, batches and route all accounts receivables, updates daily cash log, update CIS, completes all ticket corrections including charges and paybacks, maintains and posts financial data to ledgers, collects payments, and completes deposit transactions daily. Address account balances with patients and encourage patients to make payments on account. Update client’s payment information including any insurance information at each visit as appropriate/needed and at the official annual requirement.
- Communicate with telehealth staff. Coordinate service between patient and service staff. Gather required patient information required for service and relays information to providing staff. Provide support to off-site telehealth staff.
- Cross train in all support staff duties and perform duties of all administrative specialist positions in absence of other support staff related to lunch schedules and any type of leave.
- Provide oversight and management of physical office space and lobby area. Monitor and assure required signage is posted professionally/appropriately.
Position Duties
A high school diploma and two (2) years of clerical experience; or associate degree in secretarial science or other related field; or three (3) years of clerical experience.
Minimum Qualifications
Bilingual abilities in English and Spanish (or another language) are a plus.
Other Qualifications
Post hire, employees must:
- Be able to complete Managing Agitation in the Psychiatric Setting (MAPS) certification
- Have the ability to communicate clearly and effectively, both orally and in writing, with staff, consumers and public. Have extensive knowledge of office management, policies, practices and procedures.
- Have considerable knowledge of computer programs, clerical formats and language usage.
- Be able to perform record-keeping, general administrative functions and office organization.
