Position Summary: The Enrollment Coordinator supports the Enrollment Division by assisting with daily operations and special projects within the Offices of Admissions and Financial Aid. This role serves as a key point of contact for prospective students and families and plays an essential part in maintaining accurate data and efficient processes.Job Description:
Key Responsibilities:
- Provide administrative support to the Enrollment Division, including answering phone calls, responding to email inquiries and assisting families in scheduling campus visits.
- Process applications and incoming documents, perform data entry, and manage both physical and digital records.
- Run daily queries within Slate CRM to ensure data accuracy.
- Prepare, organize, and clean data for mass communications; coordinate with external mailing vendors to ensure timely and accurate distribution.
- Assist with ongoing or special mailings, including printing, assembling admission and financial aid packets, and preparing materials for distribution.
- Supervise, train, and support student workers.
- Respond to phone and email inquiries within 24 hours.
- Performs additional duties as assigned.
Relationships:
As the front-line representative of the University, the Enrollment Coordinator maintains a professional and service-oriented demeanor in all communications. The role interacts regularly with prospective students, parents, the public, and internal departments to provide accurate information regarding policies, procedures, and enrollment processes.
Responsibility for Final Decisions:
This position requires overseeing multiple interrelated processes with strong judgment and attention to detail. The Enrollment Coordinator:
- Exercises critical thinking to determine appropriate next steps
- Consistently adheres to institutional policies and data integrity standards
- Resolves routine issues independently and escalates complex matters to the supervisor as needed
- Reports concerns related to data, processes, or compliance promptly.
- Works independently on routine tasks while maintaining regular communication with the supervisor regarding ongoing projects and priorities.
Reports to:
Director of Enrollment Operations and Database Administrator
- Routine responsibilities are performed independently; non-routine issues are referred to the supervisor.
- Completes regular performance evaluations with supervisor to understand job performance expectations and how they fit into the department and university goals.
Qualifications and Requirements:
- High School Diploma required.
- 1 – 2 years of office or administrative experience preferred.
- Proficiency in office software applications, including word processing and spreadsheets, required.
- Experience with database systems (e.g. CRM platforms) preferred
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment
- Demonstrated reliability, professionalism, and flexibility.
Work Conditions: Work is performed primarily in a standard office setting.
