Job Description

Position Title: Administrative Assistant
Department: Buying office
Reports to: Buyer
Category: Non-Exempt
Location: Valley Stream, NY


Position summary:

Provides advanced administrative support to our LTC (Liquor, Tobacco & Confection) department


Responsibilities:

  • Serves to facilitate any general administrative related issues for the LTC department
  • Develops and maintains the required Excel based reports (ex: inventory, allocations, transfer orders, other relative to the business.)
  • Executes special projects and performs other department related functions as required or directed.
  • Full ownership of, discretion, and use of independent judgment with respect to all data entry responsibilities as they pertain to purchase orders, POS, price changes and daily sales information. 
  • Acts as liaison between buying line and store line for all store visits
  • Cross-referencing invoices to POs as received
  • Exercises independent initiative to ask questions and effect changes.
  • Communicate effectively and professionally as needed with vendors (ex: tester requests, pricing/availability reports)
  • Responsible for sku maintenance, with direction from buyers, to include updating product description, cost and retail.
  • Promotional support – setting up promotions in system and run performance reports monthly.
  • Works with Buyers to determine changes to store allocations (min/max) and transfers product with buyer’s approval.
  • Assists Buying teams with store openings 
  • Participates in assortment review meetings with Buyer(s) and vendor(s), assisting and making suggestions.


Experience and Education:

  • Minimum of 1 year supporting a department or a team within administrative/clerical role required.
  • Proficiency in MS Word, MS Power Point and Excel (Pivot Table, V lookup).
  • Strong organizational skills, attention to detail and ability to meet deadlines.
  • Strong written and verbal communication skills.
