Administrative Assistant - Join Our Growing Team!

J-Berd Companies is experiencing growth and we're looking for a dynamic and organized Administrative Assistant to join our Berd Electric operations team! As a key member of our team, you'll play a vital role in supporting our Assistant Project Managers, Project Managers and Field Operations, ensuring smooth project execution from start to finish. Responsibilities:

• Provide comprehensive administrative support to project managers, assistant project managers, and all company departments including purchasing, accounts payable/receivable, service, design, and field supervisors

• Compile, organize, and maintain project documents including proposals, plans, specifications, correspondence, contracts, permits, shop drawings, and close-out documents

• Serve as a communication liaison to streamline information flow between project management, field operations, and the three companies (BE, JB, and SFS)

• Update and maintain spreadsheets, project lists, logs, and other Microsoft Office documents on an ongoing basis

• Set up projects upon award in ERP; create and maintain job folders

• Create and maintain checklists and spreadsheets tracking key dates and deliverables for each active job

• Contact licensing authorities and obtain permits required for projects

• Cut purchase orders for lighting, gear, fire alarm, and generators as directed

• Compile closeout documents including O&M manuals, as-builts, and warranty information

• Perform project and data archiving: index, scan, and archive completed projects

• Maintain confidentiality regarding project contracts and employee personal data

• Accept new responsibilities as the position and business evolve
