ADMINISTRATIVE ASSISTANT-VSO

 GENERAL SUMMARY

The purpose of this job is to provide administrative support in a variety of functions to assigned division/program staff. Collects, reviews, and analyzes complex confidential data. Prepares reports, charts, budgets, and other presentation materials. Responds to internal and external inquiries with correspondence or other messaging. Schedules and coordinates meetings, travel, and other group activities. Coordinates purchasing of department supplies. Processes and maintains invoice records. Assists in the day-to-day operations of the division/program assigned to.
 
ESSENTIAL DUTIES & RESPONSIBILITIES

  • Performs administrative duties of a confidential nature with minimal supervision, which can include cash receipting.
  • Manages office facilities, materials, and supplies, including maintaining inventory and ordering supplies.
  • Supports program participants, including scheduling appointments, assisting with enrollment, promoting upcoming events, and updating records.
  • Coordinates and schedules appointments and other meetings on behalf of HCS staff and clients, citizens, partners, and other members of the community.
  • Processes program applications and organizes records within applicable systems.
  • Completes data entry and maintenance for divisional programs across appropriate databases.
  • Liaises with partners, government agencies, and vendors on behalf of divisional programs to collect necessary or missing information to accurately maintain reporting and records.
  • Assists with financial transactions, reconciles invoices, and processes reimbursements.
  • Helps with divisional social media, newsletters, and other public communication channels.
  • Performs related work as required.

 
MINIMUM QUALIFICATIONS

Required Education and Experience

  • High school diploma (or GED equivalent)
  • 1 to 3 years of related work experience in administrative support or office management 
  • Any equivalent combination of training, education, and experience that provides the required skills, knowledge, and abilities

Salary Range: $20.89-28.58/hr
