Job Description



Purpose of Job


The purpose of this classification is to provide administrative and secretarial support to the Division Director, Office Manager, and assigned environmental health food program staff.



Essential Functions:



  • Provide courteous and professional customer service via telephone, email, and in-person interactions. Respond to general inquiries with accurate infor-mation, addresses client needs effectively, and ensure proper referrals or call transfers to the appropriate individuals, departments, or agencies.

  • Demonstrate strong communication and problem-solving skills to resolve is-sues and guide clients toward appropriate solutions.

  • Monitor department email address and forwards or answers accordingly.

  • Provide operational support to Environmental Health Staff, ensuring timely assistance with tasks and projects; support Management Staff with required reports, analysis, and data tracking.

  • Support efforts to align the food program with the FDA's Voluntary National Retail Food Regulatory Program Standards.

  • Facilitate health permit application processing and fee collection for food divi-sion services.

  • Interpret and uphold internal Environmental Health operating policies.

  • Responsible for sorting, reviewing, and distributing incoming mail, and for transmitting records and related documents to designated departments as required.

  • Assist in monitoring office supply stock.

  • Ensure accurate maintenance of records and filing systems for the Food Divi-sion.

  • Education: High School diploma or GED; Associate's Preferred

  • Experience: Minimum of three years’ related experience in administrative, bookkeeping, office management or related field.

  • Respond to and report immediately if called upon by local, regional or central office supervisors, as part of a coordinated emergency response by the Knox County Mayor’s Office.

  • Ensure regular, punctual attendance during scheduled work hours.

  • Perform other duties as required.
