Job Summary:

We are seeking a highly organized and professional Administrative Assistant / Receptionist to support daily school operations and serve as the first point of contact for students, families, and visitors. In this role, you will manage front office responsibilities, coordinate administrative processes, and provide essential support to the Leadership Team.

This position blends customer service, organization, and operational support—ensuring the school runs smoothly while contributing to a positive and structured environment for students and staff.

Key Responsibilities:

Front Office & Communication

  • Serve as the first point of contact, greeting visitors and answering calls with professionalism and warmth
  • Route inquiries efficiently and connect individuals to the appropriate staff
  • Maintain a welcoming, organized front office environment

Administrative & Operational Support

  • Provide administrative support to the Day School Director and Leadership Team
  • Maintain office equipment and coordinate repairs with vendors as needed
  • Assist with scheduling, documentation, and general office coordination

Student Support & Coordination

  • Track and manage daily student attendance, including follow-up with families/guardians
  • Assist with student medication inventory and coordination with healthcare providers
  • Support staff in maintaining a safe, structured, and therapeutic environment

Inventory, Purchasing & Financial Tracking

  • Order, track, and manage school and office supplies across departments
  • Collaborate with staff to ensure timely and accurate supply fulfillment
  • Reconcile monthly purchasing statements and allocate expenses appropriately

Event & Program Support

  • Assist with planning and coordinating school events and activities
  • Support cross-functional collaboration between departments

Qualifications:

Education & Experience:

  • High school diploma or equivalent required
  • Previous administrative or office experience preferred, ideally in a school or healthcare setting

  • Strong organizational and multitasking abilities
  • Excellent communication and customer service skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to remain calm, professional, and solution-focused in high-pressure situations
