Job Description

Position Summary

The Administrative Assistant provides day-to-day administrative support to ensure efficient office operations. This role is responsible for managing schedules, coordinating meetings, handling correspondence, maintaining records, and supporting the senior leadership team and HR with clerical and organizational tasks. The ideal candidate is detail-oriented, professional, and capable of managing multiple priorities in a fast-paced environment. 

Scope/ Supervision and Interaction

Responsibilities

  • Coordinate travel arrangements, meeting logistics, and event planning as needed by Senior Leadership team, or visitors.  

  • Schedules and manages larger site meetings, which include onsite customer visits, site update meetings, and other meetings as needed.  The management of these meetings includes scheduling rooms, communicating agenda, ordering food, and all other administrative tasks needed for the meeting. 

  • Supports the scheduling of interviews, new hire onboarding, and other tasks related to talent acquisitions as needed by the HR team.  

  • Serve as the main contact at the site for inquiries and ensure those inquiries are routed to the correct internal parties to be answered.  

  • Assist with invoice processing, expense reports, and other routine administrative tasks. 

  • Support special projects and perform other clerical duties as assigned. 

  • Uses tact and discretion when handling information of a sensitive or proprietary nature 

  • Other responsibilities as assigned 

Qualifications

  • High School diploma or equivalent 

  • 3-5 years of relevant experience 

  • Knowledge and experience as an executive assistant with the ability to interact professionally with associates on all levels 

  • Demonstrated ability to work independently and maintain confidentialities 

  • Demonstrated analytical skills and judgment to proactively identify and solve problems 

  • Strong attention to detail, good organizational skills and the ability to prioritize with changing situations 

  • Proficient in Microsoft Office Suite and database management tools 

  • Excellent interpersonal, written and oral communication skills to drive tasks to completion 

  • Ability to solve complex problems and make decisions based on the analysis of multiple sources
