Job Description

About the Department

The Administrative Assistant provides high level administrative and operational support to the Vice President of Finance and Business Affairs and to the Executive Assistant and Divisional Operations Manager.  This role performs a wide range of complex, confidential, and sensitive executive support functions requiring independent judgment, strong analytical skills, and a high degree of professionalism. The Administrative Assistant also supports coordination of campus wide stakeholders along with university leadership to ensure effective operations within the division.

Position Duties

Administrative Support: Communication & Office Management

  • Perform complex administrative and executive support tasks of a highly confidential nature.
  • Assist with preparation of reports and correspondence for the Board of Trustees, Executive Leadership Team, Deans, and other key stakeholders.
  • Establish and maintain organized filing and records management systems with efficient retrieval capabilities.
  • Review and screen incoming correspondence, determining priority and handling matters independently when appropriate.
  • Receive and screen calls and visitors, identify priority issues, and direct inquiries to appropriate staff.
  • Collaborate with the Executive Assistant and Divisional Operations Manager to initiate purchase requisitions for the VP’s office along with other requests within the division of Finance and Business Affairs
  • Obtain, analyze, and communicate data and reports assisting the Executive Assistant and Divisional Operation Manager as needed.
  • Serve as liaison between the VP’s office and academic/non academic units,
  • Assist with preparation of Board of Trustee materials & ELT agenda submissions
  • Perform additional duties assigned to support the goals of the Vice President of Finance and Business Affairs
Administrative Support: Human Resources Management
  • Supervise student employees.
  • Support the Executive Assistant and Divisional Operations Manager and FBA division by maintaining records, coordinating meetings, and communicating with stakeholders
Administrative Support: Project Administration
  • Research, compile, and prepare confidential documents, including reports, spreadsheets, and presentations.
  • Collaborate within the FBA division to update key documents and resources, including the website content

Minimum Qualifications

  • Alignment with the Christian mission of Samford University.
  • Bachelor’s degree and a minimum of three years of administrative assistant experience.
  • Ability to independently initiate, prioritize, and complete responsibilities aligned with the mission of the Office of Finance and Business Affairs
  • Strong decision making, organizational, and problem-solving skills with exceptional attention to detail.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Demonstrated ability to handle confidential information with discretion.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills, including active listening, empathy, receptive to feedback, and effective teamwork.
  • Thorough knowledge of modern office practices and procedures.
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Publisher, Outlook.
  • Commitment to ongoing professional development.
  • Ability to report to work five days per week.
  • Ability to remain in a seated position for extended periods of time
  • Ability to work with a computer for extended periods of time
  • Ability to lift 25 lbs.

  • Strong organizational skills and ability to manage multiple tasks effectively.
  • Work experience in the culture and operations of a Christian academic institution.
