Job Summary:
The Administrative Assistant serves as the first point of contact for visitors, customers, and vendors while providing administrative support to multiple departments. This role is responsible for front desk operations, document management, invoice processing support, and a variety of office administration functions that contribute to the overall efficiency of the organization.

- $18 - $23/hr depending on experience

Essential Functions:
- Welcome and assist visitors, clients, vendors, and subcontractors.
- Answer, screen, and direct incoming phone calls.
- Manage incoming and outgoing mail and deliveries.
- Maintain electronic and physical filing systems.
- Assist with invoice processing and purchase order matching.
- Enter and update information in company software systems.
- Prepare correspondence, reports, and other documents as requested.
- Order and maintain office supplies and kitchen supplies.
- Assist with employee onboarding paperwork and administrative tasks.
- Schedule meetings and conference rooms.
- Support accounting, payroll, human resources, and project management teams with administrative tasks.
- Maintain confidentiality of company and employee information.
- Perform other administrative duties as assigned.
Education Requirements:
- High school diploma or equivalent
Preferred Qualifications
- Previous administrative, receptionist, customer service, or office experience
- Experience in construction, accounting, or professional services environments
- Experience with electronic document management systems

- Must be able to pass a pre-employment drug/alcohol screening and random employee pool drug/alcohol testing
- Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Teams
- Able to work independently, cross-functionally, and collaboratively
- Highly organized and detail-oriented
- Strong organizational, problem-solving, and time-management skills
- Excellent verbal and written communication and interpersonal skills
- Ability to work well under pressure in a fast-paced, deadline-driven environment
