About the Department
Under the direct supervision of the Senior Associate Vice President for Student Affairs, the Administrative Assistant/Testing Coordinator will provide comprehensive administrative and testing support to the department, ensuring the efficient operation and coordination of activities related to assessment, data collection, analysis, reporting, scheduling, communication, and daily office functions. The position will serve as a primary point of contact for students, faculty, staff, and external stakeholders while maintaining professionalism, accuracy, confidentiality, and a student-centered approach in all interactions and departmental processes.
Position Duties
- Administrative Support: Provides comprehensive administrative support to the department, including scheduling meetings, managing calendars, handling correspondence, maintaining office supplies, and assisting with daily office operations.
- Data Management: Assists in the collection, entry, and maintenance of data related to testing and departmental referrals, student engagement, and support services while ensuring data accuracy, integrity,and confidentiality.
- Report Preparation: Compiles and prepare, and maintain reports, presentations, spreadsheets, and other departmental documents as required. Assist with the analysis. organization, and interpretation of departmental and student success data.
- Communication and Customer Service: Serves as a point of contact for students, faculty, staff, and external stakeholders by responding to inquiries and providing information regarding testing, departmental services, and institutional process.
- Assist with student-centered initiatives including orientation, registration, graduation activities, Welcome Week, and other campus events and programs.
- Record Keeping and Compliance: Maintains organized accurate, and up-to-date records, files, and testing documentation while ensuring compliance with institutional policies, procedures, FERPA regulations, and departmental guidelines.
- Projects and Event Support: Provides administrative and operational support for special projects, testing initiatives, departmental programming, workshops, and institutional events as assigned by the supervisor.
Minimum Qualifications
High school diploma and work experience that is directly related to the area of employment.
Other Qualifications
Associate’s or Bachelor’s degree. Minimum of two (2) years of administrative experience, preferably in an educational or institutional effectiveness setting.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong organizational and time management skills. Excellent written and verbal communication skills. Attention to detail and accuracy. Ability to handle confidential information with discretion. Strong interpersonal skills and ability to work collaboratively. Must be able to use a computer, and file and organize materials.
Valid driver's license required. Office setting with occasional travel for meetings or events. Must be able to sit for extended periods. Must be able to move up to 25 lbs.
