Job Description

Qualifications (Preferred)



  • Degree in Education or Business Administration or related field (or equivalent experience)

  • Experience in teaching or classroom management

  • Experience in administrative or office support roles

  • Strong organizational and data management skills

  • Attention to detail and accuracy

  • Ability to manage multiple tasks and deadlines

  • Google platform knowledge and experience (gmail, calendar, drive, forms, sheets, docs, etc.)

Position Summary


The SUPP/Administrative Assistant will divide their time among school based prevention program implementation and providing essential operational, financial, and program support to ensure efficient day-to-day functioning. This role includes a focus on prevention program support and data management, documentation, financial tracking, and coordination of internal processes and logistics. This is an office or school setting environment. Hours should typically be 8:30-3:30 but can be dependent on school schedules. This position needs to be available between 7:00 am - 4:00 pm including some nights and weekends.


Performance Responsibilities


1. Administrative & Financial Support



  • Process and organize invoices.

  • Assist with budget tracking.

  • Maintain expenditure records.

  • Support financial documentation and reporting.

  • Assist with data entry and grant reporting including weekly and quarterly reports.


2. Office Operations & Organizational Support



  • Maintain internal documentation and records digital and physical filing systems.

  • Ensure accessibility of files and materials.

  • Respond to emails, calls, and inquiries.

  • Serve as a point of contact for staff and partners.

  • Support internal communication and coordination.


3. Event, Outreach & Program Support (Logistics-Focused)



  • Assist with event planning and coordination - including school schedules.

  • Support event setup and takedown.

  • Coordinate logistics and materials.

  • Coordinate program incentives and any donation/gift cards

  • Be available for school schedule and community event needs, including early start times (7:00 a.m.–4:00 p.m. or evenings and weekends).


4. Classroom Instruction & Program Implementation



  • Support and/or deliver LEC K–5/6 lessons in schools.

  • Implement TGFD lessons as needed.

  • Ensure lessons are delivered as scheduled and aligned with objectives.

  • Assist with Youth Advisory Council (YAC) Meetings and events as needed.

  • Be available for school schedules, including early start times (7:00 a.m.–4:00 p.m.).

  • Attend all required training.


5. Communication Campaign Material Distribution



  • Distribute prevention campaign materials throughout assigned territory.

  • Coordinate timelines with staff.

  • Track and document distribution locations.


6. Professionalism, Organization & Team Support



  • Maintain organized workflow and priorities.

  • Communicate clearly with team and leadership.

  • Adapt to changing needs and deadlines.

  • Support team operations as needed.


Physical Requirements



  • Lift up to 20 lbs.

  • Speak for multiple hours.

  • Perform physical activities including standing, walking, lifting, running, and climbing.


 


Salary Range: $30,000-$32,000, 188 total days mid-August to mid-June.
