Administrative Assistant

Position Summary

The Administrative Assistant provides administrative and operational support to ensure the efficient functioning of the department. This role requires exceptional organizational skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The Administrative Assistant serves as a key point of contact for internal and external stakeholders and supports reporting, data management, scheduling, and general office administration.

Essential Functions

  • Provide administrative support to department leadership and team members.
  • Prepare, maintain, and distribute reports, spreadsheets, presentations, and correspondence.
  • Create, update, and analyze Excel spreadsheets and reports with a high degree of accuracy.
  • Manage calendars, schedule meetings, and coordinate appointments.
  • Maintain electronic and paper filing systems in accordance with company policies.
  • Answer and direct phone calls, emails, and other communications professionally and promptly.
  • Assist with data entry, document preparation, and record management.
  • Coordinate departmental meetings, agendas, and meeting minutes.
  • Support onboarding, training, and other departmental administrative activities as needed.
  • Maintain confidentiality of sensitive employee, patient, and company information.
  • Identify opportunities to improve administrative processes and workflow efficiency.
  • Perform other duties as assigned.

Qualifications

Education

  • Bachelor's degree is strongly preferred.

Experience

  • Minimum of three (3) years of administrative experience required.
  • Experience supporting multiple managers or departments preferred.
  • Healthcare experience a plus.

Required Skills and Competencies

  • Excellent computer skills with advanced proficiency in Microsoft Office applications.
  • Strong Excel skills, including the ability to create and maintain spreadsheets, reports, formulas, and data tracking tools.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management abilities.
  • Ability to prioritize tasks and manage multiple projects simultaneously.
  • High level of accuracy and attention to detail.
  • Ability to maintain confidentiality and exercise discretion.
