Administrative & Office Support

  • Provide administrative support to department leaders and team members.
  • Coordinate meetings, conference room scheduling, and departmental calendars.
  • Prepare correspondence, reports, presentations, and other business documents.
  • Maintain filing systems, records, and departmental documentation.
  • Assist with office supply inventory, ordering, and organization.
  • Support onboarding activities, employee communications, and general office administration.

Operations & Department Coordination

  • Assist with tracking departmental projects, deadlines, and action items.
  • Maintain records, spreadsheets, databases, and operational reports.
  • Support data entry, document management, and administrative workflows.
  • Coordinate departmental schedules, training sessions, and team activities.
  • Help ensure timely completion of administrative tasks and follow-up items.

Vendor & Administrative Coordination

  • Assist with purchase requisitions, invoice processing, and expense tracking.
  • Coordinate with vendors, service providers, and internal departments as needed.
  • Maintain organized records of contracts, purchase orders, and departmental documentation.
  • Support procurement and inventory administration activities.

Communication & Team Support

  • Serve as a point of contact for internal and external inquiries.
  • Facilitate communication between departments and team members.
  • Assist with organizing meetings, events, training sessions, and employee activities.
  • Support company initiatives by coordinating logistics and administrative requirements.
  • Promote a professional, organized, and customer-focused office environment.

Records & Compliance Support

  • Maintain accurate departmental records and documentation.
  • Assist with document retention, audit preparation, and administrative compliance requirements.
  • Ensure confidential information is handled with discretion and professionalism.
  • Support adherence to company policies and procedures.

Qualifications

Required

  • 2+ years of Administrative Assistant, Office Coordinator, Office Administrator, or related administrative experience.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Excellent organizational, communication, and multitasking skills.
  • Strong attention to detail and accuracy.
  • Ability to prioritize workload and meet deadlines in a fast-paced environment.
  • Ability to handle confidential information with professionalism and discretion.

Preferred

  • Experience supporting teams within manufacturing, operations, logistics, engineering, or industrial environments.
  • Experience with document management systems, ERP systems, or business software platforms.
  • Associate's degree in Business Administration or related field.
  • Experience coordinating projects, training programs, or departmental activities.
