Job: Administrative Assistant

Job Description:
The Administrative Assistant's main responsibility is to support the principal with both administrative and clerical duties as well as being a liaison between the school and parents/students. The administrative assistant will help resolve conflicts using the Matthew 18 principle. He or she must have experience working in high volume office areas. He or she must have the ability to meet all standards that apply to employees of Cincinnati Hills Christian Academy and the job expectations as outlined below.
Administrative Assistant Responsibilities (40 hours/week):
· Manage the school office and provide administrative assistance as requested by the principal or principal's assistant
· Responsible for typing, copying, and maintaining correspondence
· Must be able to operate a computer using multiple software packages
· Maintain equipment in office, workroom , front desk
· Maintain student information including class lists, confidential files, records requests
· Process new student records by setting up files and cumulative records
· EdChoice Scholarships
o Applications, acceptances, renewals
o Monthly attendance
o Compliance issues
· Assist and train personnel in operation of the office equipment. Call for service on the machines in order to keep office equipment functioning
· Create files for school operations
· Order and organize office and teacher supplies
· Communications
o Set-up Requests
o Events/Assemblies
o General mailings
o Messages from parents to students, teachers and staff (volunteer could be trained to do)
· Sort mail as needed
· Maintain security by making sure that everyone entering signs in and wears a visitor badge (volunteer could be trained to do)
· Answer or find answers for inquiring parents, faculty, staff, and students (volunteer could be trained to do)
· Keep personal working environment and teacher workroom neat and clean
· Prepare and assure delivery of carpool and bus changes for students at the end of the day (volunteer could be trained to do)
· Assure completion of payroll and substitute forms for payment every two weeks
· Coordinate and prepare for special functions (i.e. Meet the Teacher Night, Open House, 8th Grade Graduation)
· Serve as back up for health clinic
· Schedule volunteers and coordinate tasks
· Schedule conferences for all students in fall of each year
· Coordinate student transportation with CPS, accepting and filing all forms, checking and updating bus route lists
· Attendance – emailing parents regarding tardies and absences
· contact for fall and spring picture days (can secure volunteer for coordination the day of pictures)
· Quarterly correspondence to students: Honor Roll, High Honor Roll, Memory Verse Honor Roll
· Field Trips: Coordinate bus transportation, process purchase orders and check requests
· Process and track substitute forms by substitutes and teachers
· Summer Reading information for website posting (in May)
· Yearly Bible Verses for website posting (in May)
· School Supply List for website posting (in May)
· Complete other assignments made by principal, principal's assistant or Head of School's Office
