Summary
CHS has an exciting opportunity in our Global Grains and Processing group. We are looking for a Full time Administrative Assistant to administrative support for the leadership team, department managers, and other staff. You must be analytical and detail oriented, with excellent communication skills, both verbal and written. Schedule is Monday - Friday 7am - 3:30pm. Pay depends on experience. Responsibilities
Operate telephone to answer, screen and forward calls, provide information, and take messages.
Greet persons entering office to determine nature and purpose of visit and direct or escort them to specific destinations.
Schedule appointments and maintain and update appointment calendars.
Oversee and monitor contracted office services related to the upkeep or operation of the administration building, including janitorial services, vending services, uniforms, copiers and telephones.
Maintain strict confidentiality in all areas.
Maintain paper and electronic records
Generate and distribute required reports, and create ad-hoc reports as requested
Scan daily corn tickets from scale house
Getting the mail from local post office box
Coordinate community service activities and other office related events including wellness program
Monitor, order, and maintain office supplies for all departments.
Transmit information or documents to staff and customers, using computer, mail, or facsimile machine.
Analyze data to determine answers to questions from staff, customers, or members of the public.
Assist in the arrangement of meeting lunches, business dinners, and site events.
Make travel arrangements for managers and executives as needed to include conference registrations and hotel reservations.
Provide assistance to leadership team and department managers for clerical duties, projects and preparation of Board meeting materials as needed.
Oversee contractor orientation and enter contractor time sheet data
Update contractor training status
Assist HR in scheduling interviews, coordinating pre-employment activities, and scheduling new hire orientation
Log permit completion accuracy and report to plant manager/EH&S coordinator
Log safety form completions and report to plant manager/EH&S coordinator
Provide coverage for scale house breaks and PTO
Minimum Qualifications (required)
- High school diploma or GED or equivalent experience
- 2 plus years of experience in an office environment
- Proficient with telephone systems, fax machines, postage machines and copiers
- Proficient with MS Word, Excel, PowerPoint, and Outlook
Additional Qualifications
- Ability to write reports, business correspondence, and procedure materials
- Ability to present information and respond to questions from groups of managers, clients, customers, and the general public
- Associate’s degree in an business or administrative discipline
- Experience providing administrative support in manufacturing or processing business
