Job Description
The Assistant Director works with the Director to provide guidance and leadership to students and student organizations in the planning and executing diverse cultural, social, and educational events that are consistent with Union College’s mission. In addition, the Assistant Director strives to foster the individual growth and development of each Union College student.

Position Title: Assistant Director – Student Activities

Pay Status and Classification: Exempt, Regular Full-time, In-Person. This position is not eligible for relocation assistance or visa sponsorship.

Supervisor: Director of Student Activities

Position Purpose: The Assistant Director works with the Director to provide guidance and leadership to students and student organizations in the planning and executing diverse cultural, social, and educational events that are consistent with Union College’s mission.  In addition, the Assistant Director strives to foster the individual growth and development of each Union College student.

Essential Responsibilities and Duties:

  • Advise the Programming Board including the development of position descriptions, recruitment and retention of members, oversee the training for each member; ensure that a variety of diverse social, cultural, intellectual and traditional events are planned and presented by students to the campus each week/weekend of each academic term. Oversee the budget allocation and overall assessment of the Programming Board.

  • Support late night and weekend, alcohol-free social programming.

  • Support the director on large scale programs including; concerts, lectures, and themed events.

  • Maintain the UEngage (Presence) website for club, organization, and campus department events. Design and distribute the Daily Digest email with a list of daily events to all students and opted-in faculty/staff. Facilitate the Bolt Points Program, an event-attendance incentive program for students, in collaboration with divisional partners.

  • Serve as a resource person for each student that interacts with the office for assistance with event/program planning, leadership development and personal concerns. 

  • Advise our media groups including: newspaper, radio, and publications. 

  • Serve as a member of various committees throughout the college and be a contributing member of these committees.

  • Review contracts for campus events; negotiate with agents, and other off-campus vendors for services.

  • Attend and provide support as the on-site administrator to student-run events and programs campus-wide during evenings and weekends. 

  • Work collaboratively with the director in advising student clubs and organizations.

  • Work collaboratively with various campus departments such as the Minerva programs and Residential Education, to ensure the best service to Union College students. 

  • Attend conferences and association meetings with other professionals in the field to maintain current skills, techniques and professional development

  • Work with the director to plan, organize, and implement leadership celebration; seek and collect nominations, select award recipients and order awards.

  • Supervise work study students including developing their schedules, organizing timecards, and goal setting. 

  • Assist student club treasurers in processing payment requests, credit cards, invoice payments, transferring of funds and other financial duties including counting and depositing various monies/checks to the cashier’s office.

  • Work closely with Central Scheduling and Facilities Services for set-up and reservations of event spaces.

  • Oversee departmental communications including; website, campus center TV advertising, and campus calendars.

  • Oversee all Social Media platforms for the office maintaining an active presence and staying up-to-date with new features/trends.

  • General office management including maintaining departmental files, ordering supplies and keeping the office stocked with needed equipment.

  • Ability to identify risks associated with events/programs and develop a plan with students to minimize associated risk when possible.

  • Serve as the onsite administrator to problem solve and manage risks as needed at weekend events

Qualifications:.

  • Minimum 1-3 years prior experience, preferably in Student Activities.

  • Experience at a small private liberal arts college is preferred. 

  • Excellent communication skills

  • Proficient at the use of technology; experience with Workday is preferred.

  • Must be safety conscious and able to work with a diverse group of students

  • Master’s Degree in Higher Education preferred

This is a live-in position.  Non-residence hall College housing will be provided. Special consideration may be given to a local candidate who has their own housing. This is a 12-month position.

Compensation:

The annual salary range for this position is $62,353.20. Except for roles with a set rate of pay, the wage/salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The stated hiring rate/range represents the College’s good faith and reasonable estimate of the rate/range of possible compensation at the time of posting.
