The Assistant Project Manager – Fire & Security supports the successful execution of fire alarm, security, and life safety projects from project turnover through completion. This role coordinates project activities, supports project design and layout efforts, manages project documentation, and works closely with Project Managers, technicians, vendors, and customers to help ensure projects are delivered efficiently and professionally.
In addition to project coordination responsibilities, this position serves as the department's primary resource for fire extinguisher services and compliance requirements and plays a key role in supporting the growth and development of Gardiner's fire extinguisher business offerings.
ESSENTIAL FUNCTIONS: include the following. Other duties may be assigned.
Project Coordination & Administration
• Support Project Managers in the planning, coordination, and execution of fire alarm, security, and life safety projects.
• Participate in project handoff meetings and assist with project startup activities.
• Track project milestones, schedules, permits, inspections, approvals, and closeout requirements.
• Order project materials and coordinate deliveries.
• Maintain project documentation, job files, drawings, and project tracking systems.
• Coordinate with customers, vendors, contractors, technicians, and internal teams regarding project schedules and requirements.
• Assist with project budgeting, forecasting, and change order administration.
Project Layout & Design Support
• Assist with project layouts, device placement, and design documentation for fire alarm and security systems.
• Review plans, specifications, and project requirements.
• Coordinate drawing updates, design revisions, and project documentation changes.
• Support project managers and technicians in resolving design-related issues.
Fire Extinguisher Program Development
• Serve as the department's subject matter expert for fire extinguisher inspections, maintenance, compliance requirements, and service delivery.
• Support the development and growth of Gardiner's fire extinguisher service offerings.
• Identify opportunities to expand fire extinguisher services with existing and prospective customers.
• Coordinate fire extinguisher-related inspections, maintenance activities, and service projects.
Business & Operational Support
• Review bid opportunities and assist in identifying potential project opportunities.
• Support customer communications and customer relationships.
• Collaborate with department leadership to support operational goals and business growth initiatives.
• Regular, predictable, in-office attendance to support collaboration, training, supervision, and operational effectiveness.

EDUCATION and/or EXPERIENCE:
• Associate's degree or Bachelor's degree in Construction Management, Engineering Technology, Fire Protection, Business, or a related field preferred.
• Three or more years of experience in project coordination, project management support, fire protection, security systems, construction, or a related industry.
• Experience with fire alarm, security, life safety, or fire extinguisher services.
• Ability to serve as a technical resource for fire extinguisher inspections, maintenance, compliance requirements, and service delivery.
• NICET certification, applicable fire protection certification, or willingness to obtain preferred.
SKILLS:

• Ability to read and interpret construction drawings and specifications.
• Strong analytical, problem-solving, and communication skills.
• Proficiency with Microsoft Office applications.
WORK ENVIRONMENT: This position is primarily office-based and involves standard computer and phone use, with extended periods of sitting and working on a computer. Occasional lifting of files, drawings, or materials up to 25 pounds may be required.
