Assistant to the Director, School of Education

Position Title: Assistant to the Director, School of Education

Position Type: Professional Unclassified

Supervisor: Director of School of Education

Purpose: This position requires a high degree of confidentiality, initiative, and independent decision-making in supporting the Director in management of the administrative and academic operations of the college. The Assistant to the Director exercises discretion in evaluating complex situations. implementing policies. and coordinating critical college functions to support students, faculty, and staff. 


This position assists the Director in matters pertaining to collegiate programs and academic support and relieves the Director of routine administrative and academic matters. Additionally. this position plays a key part in planning and executing projects. academic conferences, and professional development initiatives that enhance the schools visibility and engagement. 


Responsibilities include student database management, academic support, human resource assistance, procurement, internal reports, coordination of information, and training and mentoring of support staff. 


RESPONSIBILITIES
40% - Outreach and Program Coordination: Serves as a key representative of the School. Acting as a liaison for the Director in interactions with external stakeholders, university leadership, and prospective students. Independently prepares a wide variety of recurring correspondence, internal reports and statistics, and other documents from internal data sources. Promotes collegiate programs and assists in recruiting new students, retaining current students, and tracking graduates. Exercises judgment in managing incoming communications and delegating responses on behalf of the Director. Assists with room reservations for classes and college meetings/functions. Ensures and maintains within the School a culture of superior customer service. Supervises Director' Advisory Council of students. Represents School at campus functions, sometimes including weekends. Facilitates the promotion and implementation of appropriate School events. 


15% - Human Resources: Coordinates personnel matters for the School. Assists in credentialing of faculty and adjuncts per SACSCOC and in compiling LSUA HR forms. Generates overload, adjunct, and per capita payments between the School and Vice Chancellor of Academic Affairs and Human Resources. Maintains personnel records. Coordinates incoming job candidate particulars. including scheduling interviews and reserving flights, hotels, and restaurants. Serves as point of contact for new employees to ensure smooth transition to campus. Verifies time for student workers..


35% - Academic Support: Anticipates and resolves administrative challenges by developing solutions that enhance School operations and efficiency. Assists the Director, chairs, and faculty in advising students. Facilitates new and unregistered students in the registration process. Creates unofficial degree audits and potential course substitutions for students. Secures and prepares graduation packages for students for submission to the Registrar's Office. Maintains registration records using PowerCampus, PowerBI, Docubase, Reach, Self-Service, and Transcript Evaluation Service (TES). Monitors course enrollments and notifies the Director or areas of concern. Coordinates academic support with adjunct faculty. Communicates with students regarding scheduling and facilitates resolution on issues such as registration and course withdrawals. Tracks student registration, retention and course substitutions and maintains an alumni and current student database. 


5% - Procurement and inventory: Purchases goods and services for the School. Solicits quotes for goods & services. Prepares requisitions/purchase orders/receiving reports for purchases, purchase supplies and other allowable purchases. Assists the Director with asset custodian duties and in maintaining annual equipment and inventory reports. 


5% - Other duties and special projects as needed 


Minimum Qualifications
Education Level: Bachelor's Degree
Teaching experience preferred 
Excellent written and verbal communication skills 
Experience with Microsoft Suite applications 

Ability to learn Workday, Powercampus, PowerBI, Docubase, Reach, Self-Service, and TES.
