Job Description

About the Department

The Athletics Operations Coordinator is responsible for coordinating and supporting the operational functions of the College’s athletic programs. This position manages athletic travel logistics, purchasing and requisition processes, event operations, marketing and promotional activities, and other administrative functions that support student-athletes, coaches, and athletic department activities. The Athletics Operations Coordinator works closely with coaches, business office personnel, and College administration to ensure efficient and compliant athletic operations while promoting and enhancing the visibility of Bevill State athletics.

Salary:  Appropriate placement on Bevill State Community College C3, Rank 05 Salary Schedule: $42,580-$67,661

Work Hours: Monday through Thursday, 7:30 a.m. – 5:30 p.m., Friday 7:30 a.m. - 11:30 a.m.

Position Duties

  1. Coordinate and manage travel arrangements for athletic teams and personnel, including transportation, lodging, meals, and related logistics. 
  2. Prepare and process requisitions, purchase requests, travel documentation, and other operational paperwork in accordance with College policies and procedures. 
  3. Assist with scheduling and operational planning for athletic competitions and events. 
  4. Coordinate athletic department operational needs with coaches, vendors, and campus departments. 
  5. Maintain records related to athletic travel, purchasing, inventories, and operational expenditures. 
  6. Compile, maintain, and coordinate documentation and records related to student-athlete eligibility, transfer waivers, medical hardship requests, and National Junior College Athletic Association (NJCAA) letters of intent in accordance with applicable policies, procedures, and governing regulations. 
  7. Support game-day and event operations, including setup, coordination, and post-event responsibilities. 
  8. Assist with management of athletic equipment, supplies, and inventory processes. 
  9. Coordinate communication related to travel itineraries, accommodations, and event logistics. 
  10. Develop and manage promotional content for athletics through social media platforms and other communication channels. 
  11. Assist with marketing and promotional efforts designed to increase engagement, attendance, and awareness of Bevill State athletic programs and events. 
  12. Coordinate and assist with athletics media days, photography sessions, promotional campaigns, and related activities. 
  13. Collaborate with coaches and College personnel to promote athletic events, student-athlete achievements, and departmental initiatives. 
  14. Serve as a resource to coaches and staff regarding operational procedures and College processes. 
  15. Attend athletic events and activities as needed, including evenings and weekends. 
  16. Perform other duties as assigned by the Athletic Director or President.

Minimum Qualifications

A minimum of a bachelor’s degree from a regionally accredited institution is required. A minimum of two (2) years of experience in athletics operations, business operations, event coordination, marketing, communications, travel coordination, or a related field is preferred. Experience working in a collegiate athletics environment is preferred. Equivalent combinations of education and experience may be considered.

KNOWLEDGE, SKILLS AND ABILITIES:

  1. Knowledge of and commitment to the College’s mission, vision, and community college philosophy. 
  2. Demonstrated ability to make sound decisions and exercise professional judgment.
  3. Knowledge of office administration, purchasing procedures, travel coordination, marketing, and operational processes. 
  4. Knowledge of social media platforms, digital communication strategies, and promotional practices. 
  5. Ability to organize and manage multiple projects, schedules, and deadlines simultaneously.
  6.  Strong interpersonal and communication skills with the ability to work effectively with students, coaches, faculty, staff, vendors, and the public. 
  7. Ability to create professional promotional and marketing content. 
  8. Ability to maintain accurate records and prepare reports and documentation.
  9.  Working knowledge of Microsoft Office and other applicable software systems.  
  10. Ability to exercise sound judgment, discretion, and professionalism.  
  11. Ability to work flexible hours, including evenings and weekends, as required by athletic schedules and events.
  12. Knowledge of or ability to learn College policies, procedures, and applicable athletic regulations.

 Sick Leave
All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Upon retirement, employees are allowed to convert unused sick time into service time for the purpose of retirement. Retirement
The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control. The Boards of Control elect the Secretary-Treasurer who serves as the Chief Executive Officer of the RSA and is responsible for the day-to-day management of the RSA. The TRS is a defined benefit plan qualified under Section 401(a) of the Internal Revenue Code. Tuition Assistance
This tuition waiver program is designed for all full-time instructional and non-instructional employees of The Alabama College System and the Alabama Department of Postsecondary Education and their dependents as defined under by policy.  The program will be coordinated by each institution for employees within The Alabama College System and the Alabama Department of Postsecondary Education. An application form for the tuition assistance program is available in the Human Resources office and should be completed prior to registration for classes.  

Employees/Dependents at two-year colleges:
  • 1/3 waived after 1st year
  • 2/3 waived after 2nd year
  • 3/3 waived after 3rd year
