Banquet Office Coordinator

Job Description

The Banquet Coordinator will provide administrative support to the Banquet Department, and serve as a primary source of coordination between Banquet Management and Event Services.

Work Requirements

  • Process invoices into Birchstreet for accounts payable processing.
  • Type correspondence, memos, forms, recipes, labels, etc.
  • Scan, fax, email and make copies as needed.
  • Ordering office supplies for the department.
  • Run reports: monthly/quarterly/ytd.
  • Maintain filing.
  • Set up appointments with vendors when needed.
  • Act as liaison between vendors (wine, entertainment, etc.) and management
  • Coordinate Food & Beverage and BEO meetings, print agendas, take minutes.
  • Create BEO packets daily/weekly.
  • Enter work issues or repairs needed.
  • Handle all administrative needs.
  • Assist with payroll as needed
  • Other duties as assigned

Qualifications

  • Due to the nature of hospitality, a flexible schedule is required
  • Good verbal communication skills.
  • Good computer skills including word, excel and outlook.
  • Prior administrative and banquet experience is strongly preferred
  • Ability to read and interpret document such as safety rules, operating & maintenance instructions and procedure manuals.
  • Ability to write routine reports & correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.
