Job Description

Job Summary

Encompass Youth Services is seeking a Bilingual (English/Spanish) Program Assistant for a full-time position (Monday–Friday, 8:30 AM–5:00 PM, with occasional evenings as needed for family night events). The home base for this position will be in Watsonville (Auto Center Drive), with occasional support needed at the Santa Cruz (Encinal Street) office. This position is a two-year limited term with the possibility to extend if there is a future need.



The Program Assistant provides administrative and operational support to Youth Services programs. This role supports program staff, processes referrals, maintains systems, and assists with coordination of services, events, and daily program operations.



Key Responsibilities




  • Provide administrative support to program staff and managers

  • Process and track referrals for justice-involved youth programs

  • Maintain client records, data entry, and tracking systems

  • Support coordination of meetings, trainings, and program activities

  • Assist with communication and coordination with community partners

  • Manage office tasks (mail, supplies, invoices, scheduling)

  • Act as liaison with vendors and internal departments



 



Additional Duties




  • Maintain client files and documentation

  • Support billing data entry and reporting

  • Manage office supplies, gift cards, and basic fiscal tasks

  • Assist with outreach, events, and family engagement activities

  • Support general program and administrative needs



 



Qualifications




  • Strong organizational and communication skills

  • Ability to manage multiple tasks and work under pressure

  • Proficiency in Microsoft Word and Excel

  • Strong writing and documentation skills

  • Bilingual (English/Spanish) required

  • Valid California Driver’s License and reliable transportation

  • Minimum 2 years of administrative experience



 



Physical Requirements




  • Ability to lift up to 20 lbs and perform routine office tasks

  • Frequent computer use



Driving: Occasional use of agency vehicle (no clients)



Wages & Benefits: 



Pay Rate: $24.00 to $26.00 per hour depending on experience. Position will receive bilingual stipend of $1.00 per hour in addition to pay rate.
