Pay Range: $20.00 – $24.00 per hour (DOE)

Willow Creek Healthcare Center is seeking a professional, organized, and detail-oriented Business Office Assistant to join our administrative team. This position is ideal for someone who enjoys working in a fast-paced healthcare environment and has strong customer service, clerical, and computer skills.

As a Business Office Assistant, you will play an important role in supporting the facility's daily administrative operations while serving as a resource for residents, families, visitors, and staff.

Position Summary

The Business Office Assistant is responsible for supporting the administrative functions of the facility in accordance with federal, state, and local regulations, as well as company policies and procedures. This position assists the Administrator, Director of Nursing, and Business Office Manager with clerical, accounting, payroll, and administrative tasks to help ensure efficient day-to-day operations.

Essential Duties and Responsibilities

  • Assist with daily administrative and business office operations
  • Support the Administrator, Director of Nursing, and Business Office Manager with various administrative tasks
  • Perform clerical and accounting functions, including cash receipts and data entry
  • Assist with payroll and human resources functions as assigned
  • Maintain meeting minutes and file documentation appropriately
  • Serve as a professional representative of the facility to residents, families, visitors, and community members
  • Assist with incident and accident reporting and filing
  • Maintain office records, reports, and correspondence
  • Ensure adequate office supplies and equipment are available to support operations
  • Develop positive working relationships with all departments
  • Assist with special projects and administrative studies as assigned
  • Maintain confidentiality of resident, employee, and facility information
  • Ensure compliance with HIPAA and privacy regulations
  • Report suspected unauthorized disclosures of protected health information
  • Perform other duties as assigned

Qualifications

Education & Experience

  • High school diploma or GED required
  • Previous administrative, clerical, payroll, HR, or business office experience preferred
  • Healthcare or skilled nursing experience preferred but not required

Skills & Abilities

  • Strong customer service and communication skills
  • Computer proficiency required
  • Microsoft Excel experience preferred
  • Ability to type a minimum of 40 words per minute
  • Experience using a 10-key calculator and standard office equipment
  • Strong organizational and multitasking skills
  • Ability to maintain confidentiality and professionalism
  • Knowledge of general office procedures and business practices

Physical Requirements

  • Ability to sit, stand, and walk throughout the workday
  • Frequent use of computers, telephones, copiers, scanners, and office equipment
  • Ability to occasionally lift and/or move up to 25 pounds
  • May be required to assist during emergency resident evacuations
