Job Summary

Job Description Title - Central Office Receptionist/Secretary

Reports To: Department Coordinator / Superintendent 

FLSA Designation: Non-Exempt 

Job Goal: To provide a variety of clerical tasks to ensure a smooth operation of the office/department.  

Minimum Qualifications:

·         High school graduate or equivalent (GED).

·         Proficient in verbal and written communication.

·         Must be able to learn and proficiently use various technology platforms.

·         A basic understanding of the departmental software is preferred.

Skills and Physical Abilities:

·         The employee is regularly required to speak, listen, walk, stand, sit, use hands for fine manipulation, handle or feel, and reach with hands.

·         The employee may occasionally be required to stoop, kneel, lift and/or move up to 40 pounds.

·         Specific vision abilities required by this position include close vision, distance vision, ability to focus, and peripheral vision.

·         Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Must be able to deal with problems involving several concrete variables in standardized situations.

·         Ability to multi-task and to prioritize tasks efficiently.

·         Physical strength, mobility, dexterity, stamina, and acuity to perform job responsibilities.

Performance Responsibilities and Essential Functions:

  1. Regular and punctual attendance
  2. Provide clerical support for the department as assigned and requested, including the procurement of office supplies, purchasing, and preparation of contracts
  3. Act as a receptionist to answer phones, route calls, and maintain the coordinator’s calendar
  4. Use technology efficiently to perform office functions such as emailing, writing memos, sending interoffice mail, producing professional development materials, maintaining professional development records, etc.
  5. Maintain accurate records and files related to the office (including the transferring and intake of records)
  6. Demonstrate a high degree of professionalism and discretion
  7. Attend professional development that relates to the scope of the secretary’s duties in the office
  8. Assist the coordinator in preparing items for the Board agenda, grant writing, and monitoring
  9. Other duties as assigned by the coordinator 

Terms of employment: 240 days

Daily work schedule will be determined by the coordinator for the necessary operations of the office/department assigned. Work assignments and schedules are subject to change.

Evaluation:

Performance will be evaluated in accordance with the support personnel evaluation system and board policy.
