Job Description

Position Overview

 
 

The Recon Center Clerk provides clerical and operational support for the reconditioning team, maintaining accurate records, coordinating vehicles through the recon process, and supporting overall workflow efficiency. This role is full-time, on-site, and works closely with service, sales, and management to ensure vehicles are ready for retail in a timely manner.

Key Responsibilities

  • Perform data entry to update and track vehicles through each recon stage (intake, mechanical, cosmetic, detailing, final QC, front-line ready).

  • Maintain accurate logs, spreadsheets, and digital files for work orders, vendor invoices, repair approvals, and internal charges.

  • Coordinate incoming and outgoing vehicles, parts, and supplies, including scheduling, status updates, and communication with technicians, advisors, and managers.

  • Verify paperwork for each vehicle is complete and correct before unit is released to sales.

  • Answer phones and emails, respond to status inquiries, and provide professional customer service to internal departments and outside vendors.

  • Assist with special projects, reporting, and other administrative tasks assigned by the Recon Center Manager or Fixed Operations leadership.

Qualifications

  • High school diploma or equivalent.

  • 1+ year of clerical, automotive, or inventory/warehouse experience preferred; dealership or service department background is a plus.

  • Strong attention to detail, organizational skills, and ability to manage multiple vehicles and tasks simultaneously in a fast-paced environment.

  • Proficiency with Microsoft Office (Excel, Word, Outlook); comfortable learning new systems.

  • Clear written and verbal communication skills, professional phone and email etiquette, and customer-service mindset.

  • Valid driver’s license with acceptable driving record and ability to safely move vehicles around the lot and shop area as needed.
