MISSION:
The mission of the Community Manager is to excel at overseeing the day-to-day operations of homeowner associations throughout San Diego County, while guiding the Board of Directors in long-term planning. This role focuses on Resident Communications, Financial Management, and Facility Maintenance. As the most visible company representative in the marketplace, the Community Manager must present a professional, consistent, and friendly image while embracing Southwest Association Management’s family-like, team-oriented culture.
RESPONSIBILITIES
- Become familiar with the Governing Documents (Bylaws, CC&Rs, Rules) for each managed association.
- Communicate with Board members and owners, responding to routine requests within one business day and immediately for emergencies.
- Draft and distribute community newsletters and email updates regularly.
- Perform bi-weekly property inspections using Property
- Inspect and send reports to the Board within one day of inspection.
- Coordinate with outside contractors to ensure timely completion of approved maintenance work.
- Review and approve vendor and utility invoices weekly.
- Review monthly financial reports generated by the Finance Director.
- Guide Boards through annual budgets and long-term planning.
- Attend all Board meetings, including some evening sessions.
- Handle light project management duties related to associations.
- Assist with administrative tasks such as booking appointments, research projects, sending client cards, and ordering gifts or flowers.
PROFICIENCIES
- Excellent communication skills, both verbal and written, with a collaborative mindset.
- Proficiency in Microsoft, ClickUp, and email systems, with the ability to learn new software quickly.
- Familiarity with industry-specific software, with Vantaca preferred and previous experience in Yardi.
- A real estate agent’s license is beneficial.
- Must have a valid driver’s license, insurance, and personal transportation.
- Practical knowledge of labor and materials for maintenance and repair projects.
- Ability to work effectively with domestic colleagues and international virtual assistants while maintaining a positive and professional demeanor.

SPECIFIC REQUITEMENTS
Physical Demands:
The team member will be regularly required to sit, stand, walk, talk, hear, and reach using feet, legs, back, arms and hands. The employee may occasionally be required to climb. Employee will be required to work at a personal computer and talk on the phone for extended periods of time. Must possess the ability to detect auditory and/or visual alarms and be available to work extended/flexible hours and weekends, as needed.
Attendance/Travel:
This position is a full-time position and may require the availability to work some nights, weekends, and occasional holidays. Regular attendance and active participation/planning at company functions and events is also required.
WORK SCHEDULE
- Hours: Monday – Friday, 8:30A-5:30P
Nights/Weekends/Additional Hours as required and directed by supervisor.
- Location: In-Person Only (Travel Required within San Diego Region 25% of the time)
