Construction Administrative Assistant



Subsidiary: Construction Earthwork

Location: Greeley, CO

Reports To: Construction Administrator Coordinator

Position Type: Full-Time

Pay: $26.00 – $29.00/hour





Position Summary



The Construction Administrative Assistant plays a key role in supporting the day-to-day operations of the department and project teams. This position provides hands-on experience in administrative functions and job cost accounting, including billing, AP processing, documentation management, and project lifecycle support from startup through close-out.



This role requires strong organizational, communication, and time management skills, along with the ability to multi-task, problem-solve, and maintain accuracy under strict deadlines.



This position is primarily based in Colorado with little to no overnight travel.





Key Responsibilities



Administrative & Accounting Support




  • Prepare and submit monthly client billings

  • Manage, maintain, and track multiple spreadsheets

  • Compile and communicate data clearly to managers and stakeholders

  • Generate and maintain job cost reports

  • Review, code, and process Accounts Payable (AP) invoices

  • Enter and maintain equipment unit data in NetSuite

  • Support project startup through close-out documentation

  • Perform additional duties as assigned

Work Environment



This position operates in a professional office environment and regularly uses standard office equipment such as computers, phones, copiers, and filing systems.



The role requires frequent standing, walking, and use of hands for handling materials and operating equipment.





Physical Requirements




  • Ability to lift up to 30 pounds occasionally

  • Ability to stand for extended periods (2–3 hours at a time, multiple times per day)

  • Ability to walk short distances regularly

  • Frequent use of hands, arms, and verbal communication





Schedule




  • Monday – Friday, 8:00 AM – 4:00 PM

  • Occasional evening or weekend work may be required based on project needs

  • Schedule may vary depending on job and site requirements





Required Education & Experience




  • High school diploma or equivalent

  • 1+ years of experience in accounting and billing (construction or related industry preferred)

  • Proficiency in Microsoft Office (Excel, Word, Outlook)

  • Ability to learn accounting and ERP systems

  • Strong organizational and recordkeeping skills

  • Ability to maintain confidentiality

  • Strong technical writing and documentation skills

  • Excellent communication and time management skills

  • Ability to take initiative and learn quickly





Preferred Qualifications




  • Associate’s degree in Accounting or related field

  • Experience in oil and gas (preferred but not required)

  • Netsuite Experience 





Work Authorization




  • Must be authorized to work in the United States

  • Valid driver’s license required
