Position Summary
As a Contract Administrator / Dispatch Coordinator, you will oversee contract billing activities while supporting daily dispatch operations. Working closely with accounting, operations, clients, and drivers, you'll play a key role in maintaining billing accuracy, resolving operational challenges, and ensuring reliable transportation service.
Key Responsibilities
Contract Administration & Billing
- Review and reconcile billing records with accounts receivable data
- Generate and process high-volume, client-specific invoices
- Maintain a strong understanding of billing platforms and procedures
- Investigate and resolve billing discrepancies in a timely manner
- Ensure accurate invoicing, reporting, and payment tracking
- Monitor account aging and identify trends requiring attention
- Assist with audits and maintain internal control compliance
- Prepare operational and financial reports, metrics, and analyses
- Recommend process improvements to enhance efficiency and accuracy
- Ensure compliance with company standards and regulatory requirements
Dispatch & Operations Coordination
- Assign and coordinate drivers based on schedules, routes, and service demands
- Monitor transportation services in real time and address delays or disruptions
- Serve as a communication link between drivers, customers, and operations teams
- Support route planning and scheduling adjustments as needed
- Maintain accurate dispatch records and operational documentation
- Respond to customer inquiries regarding trip status and service updates
- Help ensure timely, efficient, and reliable transportation services
Qualifications
- Associate's or Bachelor's degree, or 3+ years of experience in accounting, finance, dispatching, transportation, or a related field
- Exceptional attention to detail and organizational skills
- Ability to prioritize and manage multiple responsibilities in a fast-paced environment
- Strong analytical, problem-solving, and decision-making abilities
- Excellent written and verbal communication skills
- Experience with billing systems and high-volume transaction processing preferred
- Proficiency in Microsoft Office applications
- Ability to quickly adapt to new software and operational processes
