Job Description

Position Summary

We are seeking a motivated and detail-oriented Customer Service Representative to join our team. This position serves as a key point of contact for our customers by providing exceptional service, preparing quotations, processing orders, and coordinating with vendors and internal departments to ensure timely fulfillment of customer needs.

The ideal candidate is organized, customer-focused, and capable of managing multiple priorities in a fast-paced environment while maintaining accurate records and clear communication.

 

Key Responsibilities

  • Answer incoming customer phone calls and respond to customer inquiries professionally and promptly.
  • Prepare and provide customer quotations based on product availability, pricing, and customer requirements.
  • Convert customer quotes into sales orders and ensure all order details are accurate.
  • Procure products from vendors as needed to fulfill customer requirements.
  • Coordinate with other Customer Service Representatives to ensure tasks are completed efficiently and customers receive timely updates.
  • Maintain accurate notes, statuses, and documentation within the ERP system for sales orders and purchase orders.
  • Communicate order updates, delivery requirements, and inbound shipment information to warehouse personnel.
  • Monitor open orders and purchase orders to ensure timely processing and follow-up.
  • Work closely with purchasing, sales, and warehouse teams to resolve customer and order-related issues.
  • Provide excellent customer service while building strong customer relationships.

Qualifications

  • Previous customer service, inside sales, purchasing, or order processing experience preferred.
  • Strong communication and interpersonal skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office applications and ERP systems.
  • Ability to work effectively both independently and as part of a team.
  • Strong problem-solving and follow-up skills.

Preferred Experience

  • Industrial distribution, manufacturing, or wholesale supply experience.
  • Experience with ERP software and order management systems.
  • Knowledge of purchasing and procurement processes.
