We are seeking a detail-oriented and organized Data Entry Administrator to support our administrative and clinical operations through accurate data management, record maintenance, and administrative support.
Position Summary

The Data Entry Administrator is responsible for entering, updating, maintaining, and verifying organizational data across various systems and databases. This role supports clinical, administrative, and operational departments by ensuring information is accurate, complete, and readily accessible while maintaining strict confidentiality and compliance standards.
The ideal candidate is highly organized, detail-oriented, and capable of managing multiple tasks in a fast-paced healthcare environment.
Essential Duties and Responsibilities

Data Entry & Record Management

  • Enter client, employee, and operational data into electronic systems accurately and efficiently.
  • Review documents and records for completeness and accuracy before data entry.
  • Update and maintain databases, spreadsheets, and electronic health records (EHR) systems.
  • Verify and correct data discrepancies as needed.
  • Generate reports and compile information for management and departmental use.

Administrative Support

  • Assist with filing, scanning, and organizing electronic and physical records.
  • Maintain confidential client and employee files in accordance with organizational policies.
  • Support administrative projects and departmental initiatives.
  • Assist with document preparation, correspondence, and record retrieval.
  • Coordinate with team members to ensure timely completion of administrative tasks.

Compliance & Confidentiality

  • Adhere to HIPAA regulations and confidentiality requirements.
  • Ensure data accuracy and compliance with organizational policies and procedures.
  • Maintain secure handling of sensitive client and employee information.
  • Support internal audits and quality assurance reviews as requested.

Communication & Collaboration

  • Work closely with clinical, admissions, human resources, and administrative staff.
  • Respond to internal requests for information and documentation.
  • Assist with maintaining accurate records for regulatory and accreditation requirements.
  • Communicate professionally with staff, vendors, and stakeholders.

Qualifications

Required

  • High school diploma or equivalent.
  • Minimum of one (1) year of data entry, administrative, or clerical experience.
  • Strong computer proficiency, including Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent typing and data entry skills with a high degree of accuracy.
  • Strong organizational and time-management abilities.
  • Ability to maintain confidentiality and handle sensitive information.

Preferred

  • Associate degree in Business Administration, Healthcare Administration, or related field.
  • Experience working in healthcare, behavioral health, or substance use treatment settings.
  • Familiarity with Electronic Health Records (EHR) systems.
  • Experience with database management and reporting tools.
