Job Description

About the Department

This position is responsible for providing administrative and clerical support to the department.  The position may also serve as the Accounts Officer or another specialized function as required by the needs of the Court.

  • Assists with operations of the financial division of Superior & State Court Clerk's Office.
  • Receives and verifies balances for fines, fees and funds collected through the Superior and State Courts and the county Real Estate Department.
  • Prepares reports and disbursements for funds sent to multiple state agencies in accordance with statutory provisions set forth in Georgia code.
  • Prepares and maintains office accounting records for multiple accounts.
  • Balances and reviews financial reports on a monthly basis for each division of superior and state courts.
  • Prepares office financial records for the annual independent audit, which includes monthly-consolidated reports, monthly bank reconciliations, year-end closing reports for all accounts, and spreadsheets for all accounts.
  • Works with and assists independent auditor in audit of all Superior, State, and Real Estate financial records.
  • Prepares daily bank deposits for courts.
  • Coordinates and performs daily verification and audit of all funds received by office with each division.
  • Certifies to the Finance Department that complete verification and audit trails have occurred on daily basis upon receipt of funds from various divisions.
  • Provides accounting information and assistance to attorneys, financial institutions, and governmental agencies.
  • Maintains documents and large sums of money in locked safe; prepares daily and weekly deposits to financial institutions; enters and monitors debit and credit entries recorded in multiple tills.
  • Assists and coordinates in monitoring account activity, evaluates frequent statutory and regulatory changes in state law, as well as financial reporting standards.
  • Performs other related duties as assigned.
  • Preferred consideration for employment will be provided to applicants with grant writing, funding research and grant resource development experience. 
  • Experience to include defining project objectives, identifying funding sources, constructing solid and persuasive grant proposals and assisting with the economic and work objectives of the Clerk’s office.
  • Performs other duties as assigned.

Position Duties

  • Ability to understand and interpret state laws, rules, regulations and procedures necessary to perform duties as mandated by manual of Council of Superior Court Clerks of Georgia.
  • Have knowledge and understanding of principles and practices of accounting, public and court finance operations, auditing and computer system administration.
  • Skill in gathering, analyzing and interpreting complex data.
  • Skill in maintaining highly accurate, detailed financial operations and accounting.
  • Skill in operating complex and standard modern office equipment and computer systems.Skill in oral and written communication.

Minimum Qualifications

Knowledge and level of competency commonly associated with the completion of specialized training in the occupational field, in addition to basic skills typically associated with a high school education. Sufficient experience to understand the basic principles relevant to the major duties of the position usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.

Other Qualifications

The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, bending, crouching, or stooping.  The employee occasionally lifts light and heavy objects and climbs ladders. Additionally, the following physical abilities are required:

  • Mental Acuity – ability to make rational decisions through sound logic, deductive reasoning.?
  • Pulling - use upper extremities to exert force, haul or tug.?
  • Pushing – use upper extremities to press against objects with force, or thrust forward, downward, outward.
  • Reaching – extending hands or arms in any direction.?
  • Repetitive Motion – substantial movements of wrists, hands, fingers.?
  • Speaking – expressing ideas with spoken word, convey detailed, important instructions accurately, concisely.?
  • Standing – for sustained periods of time.?
  • Stooping – bending body downward, forward at waist, with full motion of lower extremities and back.?
  • Talking 1- expressing ideas by spoken word?.
  • Visual Acuity 1 - prepare, analyze data, transcribing, computer terminal, extensive reading.?
  • Walking - on foot to accomplish tasks, long distances, or site to site.

The work is typically performed in an office, library, or computer room.

Retirement Plan
The Columbus Consolidated Government offers a defined benefit retirement plan to eligible employees who work in General Government and in Public Safety.  Employees in the pension plan must meet both age and years of service requirements to qualify for retirement.  The current vesting period is ten years, and the current pension contribution rate is 8% of your gross salary.
