SUMMARY: Provides clerical support to the District. Operates a multi-line telephone system to answer incoming calls and directs callers and visitors to appropriate personnel or departments. Assigns substitute teachers on a daily basis and maintains appropriate records of assignments. Records and maintains accurate attendance for all district personnel.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Answers incoming telephone calls, determines purpose of calls and forwards calls to appropriate personnel or departments
- Welcomes visitors, determines nature of business and announces visitors to appropriate personnel; monitors visitor access
- Composes reports, letters, forms or other documents as directed
- Makes photo copies as needed for school staff
- Assists with preparation of bulk mailings as needed
- Files materials, retrieves information as needed
- Researches information; provides assistance as needed to the Principal, teachers, staff, and students
- Serves as backup for various administrative duties when regularly assigned person is absent
- Retrieves messages from the employee absence line and records employee absences per established procedures
- Enters and maintains employee leaves of absence on the District’s computer system; informs payroll department of negative leave situations and provides other reports when requested
- Assigns substitute teachers on a daily basis and maintains records for payroll purposes
- Processes substitute payroll thru sub tracking
- Keeps track of days worked by an emergency substitutes and long term substitutes
- Responsible for the leave incentive report
- Responds to requests for information from members of the community regarding district and school information
- Composes letters and/or prints correspondence, reports, forms, school maps and other documents
- Maintains accurate files of time sheets and leave requests
- Sorts and distributes materials, supplies and mail to appropriate individuals
