Summary:
The Administrative Assistant for Dual Enrollment is a full-time, 12-month position. The Administrative Assistant will serve as the liaison for faculty, internal college departments, students, and parents. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced academic environment.
Position Duties
Essential Duties and Responsibilities:

- Reports to the dual enrollment Coordinator and Associate Vice President of Academic Affairs
- Attention to detail and capable of meeting deadlines
- Coordinate dual enrollment registration processes; and assist with course roster management
- Track enrollment status and withdrawals
- Ensure compliance with university dual enrollment policies
- Coordinate communication between schools, university and college departments
- Provide support for dual enrollment instructors
- Manage room scheduling for dual enrollment meetings and events
- Manage/maintain the dual enrollment website and handbook
- Request/arrange IT support for faculty and students
- Order text material, maintain inventory, and instructional supplies and assist with distribution processes
- Perform other duties as assigned
Minimum Qualifications
Minimum Position Requirements (including years of experience, certifications, licenses, etc.):
- Bachelor’s degree, master's degree preferred.
- Experience with student registration, enrollment management, or similar record-keeping processes.
- Experience ordering and distributing educational materials, textbooks, or similar resources.
- At least three (3) years of experience administrative, office support, or higher education experience.
Other Qualifications
Knowledge, Skills, and Abilities:
· Knowledge of dual enrollment program structure and procedures
· Knowledge of high school and college academic policies and registration processes
· Knowledge of FERPA and student privacy regulations
· Knowledge of admissions and enrollment procedures
· Knowledge of student information systems (e.g., Banner, Octopus Authenticator, Blackboard, etc.)
· Knowledge of state and institutional compliance requirements
· Knowledge of office administration principles and records management
· Knowledge of basic budgeting and invoicing procedures
· Ability to make administrative/procedural decisions and judgments
· Ability to create, compose, and edit written materials
· Ability to communicate effectively, both orally and in writing
· Demonstrated knowledge and understanding of student services in higher education. Familiarity with the Family Educational Rights and Privacy Act (FERPA) and privacy regulations as they relate to students’ records.
