The Ranch Events Team delivers more than 1,100 events annually, welcoming nearly one million guests to one of Colorado's premier event destinations. Our Event Coordinators manage a diverse portfolio of events, including consumer shows, conventions, sporting events, equestrian competitions, trade shows, festivals, community celebrations, and the nationally recognized Larimer County Fair & PRCA Rodeo. This is a fast-paced, customer-focused role where no two days are the same. As The Ranch continues its exciting campus expansion—including a new Event Lawn and Amphitheater- our team plays a key role in shaping the future of events in Northern Colorado. We are looking for a collaborative, organized, and solution-oriented professional who thrives in a dynamic environment, enjoys building strong client relationships, and is passionate about creating exceptional event experiences.

Position Duties

What you'll be doing:

  • Manage a portfolio of assigned events from initial booking through post-event settlement, serving as the primary point of contact and delivering an exceptional client experience throughout the planning process.
  • Plan and coordinate all event logistics, including facility layouts, staffing, food and beverage, security, parking, ticketing, vendors, and event timelines while collaborating with internal teams and external partners.
  • Oversee on-site event operations, adapt to changing conditions, resolve issues as they arise, and ensure events are executed safely, efficiently, and in compliance with client contracts and County policies.
  • Build and maintain strong relationships with event organizers, promoters, vendors, sponsors, community organizations, and operational partners to encourage repeat business and support long-term client success.
  • Prepare event estimates, settlements, and financial documentation, monitor event budgets, track expenses, and ensure contractual obligations are met.
  • Support the planning and execution of signature events, including the Larimer County Fair & PRCA Rodeo and other Ranch-produced events, while contributing ideas for continuous improvement and future event development.
  • Partner with the Sales, Marketing, Operations, Parking, Security, and Hospitality teams to ensure seamless event execution and exceptional guest and client experiences.
  • Foster a collaborative, team-oriented environment by supporting fellow Event Coordinators, sharing best practices, participating in special projects, and pursuing opportunities for professional growth as The Ranch continues to grow.

What we're looking for:
  • Strong knowledge of event planning, venue operations, and customer service, with the ability to manage multiple events and competing priorities.
  • Excellent organizational and project management skills, with exceptional attention to detail and the ability to anticipate client and operational needs.
  • Strong verbal and written communication skills, with the ability to build positive relationships with clients, vendors, sponsors, community partners, and internal teams.
  • Proven ability to think critically, solve problems under pressure, and make sound decisions in a fast-paced, ever-changing environment.
  • Experience preparing event estimates, managing budgets, reviewing contracts, and completing accurate financial settlements.
  • Ability to coordinate cross-functional teams, supervise temporary staff and volunteers, and work collaboratively with Operations, Sales, Marketing, Security, Parking, and Hospitality teams.
  • Proficiency with Microsoft Office and event management software, with the ability to quickly learn new systems and maintain accurate event records.
  • Flexibility to work evenings, weekends, holidays, and extended hours, particularly during major events such as the Larimer County Fair and other campus-wide events.
  • A customer-focused mindset with a high level of professionalism, initiative, accountability, and a commitment to delivering exceptional client and guest experiences.

Minimum Qualifications

All candidates will be screened for the following required minimum qualifications. Any candidate who does not meet all of the qualifications listed as required will be eliminated from the process.

This position could hire as an Environmental Health Specialist I or II depending on qualifications. 
Event Coordinator I

  • One (1) year of experience in a directly related field or in the performance of similar duties and responsibilities required.
  • Bachelor's Degree, or equivalent education, from an accredited college or university with major coursework in Marketing, Public Relations, Business Administration, or a related field required.
  • Possession of a valid Driver's License by date of hire required.
Event Coordinator II
  • Three (3) years of experience in a directly related field or in the performance of similar duties and responsibilities required.
  • Bachelor's Degree, or equivalent combination of education and/or experience, from an accredited college or university with major coursework in Marketing, Public Relations, Business Administration, or a related field required. Related education or experience may be substituted on a year for year basis.
  • Possession of a valid Driver's License by date of hire required.

Other Qualifications

Please Note:
This position typically works eight-hour shifts. Because events occur outside of standard business hours, the schedule includes evenings, weekends, and occasional extended workdays. Employees may work remotely one day per week, subject to operational needs.
