Job Summary

 

The Executive Assistant provides high-level administrative and organizational support to senior leadership, ensuring efficient management of schedules, communications, meetings, and business priorities. The role requires exceptional attention to detail, discretion, professionalism, and the ability to manage multiple tasks in a fast-paced environment.

Job Description

 

  • Manage the executive’s calendar, appointments, and daily schedule to ensure effective time management.
  • Coordinate internal and external meetings, including preparing agendas, compiling documents, and recording minutes where required.
  • Screen, prioritize, and manage correspondence, emails, and calls.
  • Prepare presentations, reports, memos, and other business documents as needed.
  • Coordinate travel arrangements, accommodation, visa applications, and expense claims.
  • Follow up on pending matters, action items, and business priorities on behalf of the executive.
  • Liaise with internal departments and external stakeholders to facilitate communication and information flow.
  • Maintain confidentiality of sensitive business information and executive communications.
  • Organize executive meetings, leadership events, and company functions.
  • Ensure proper filing and maintenance of executive documents, contracts, and records.
  • Support ad hoc projects and administrative requirements as assigned.

Education & Qualification

 

  • Bachelor’s degree in Business Administration or a related field is preferred.

Relevant Experience

 

  • Minimum 3–5 years of experience in Executive Support, Administration, or a similar role.
  • Prior experience supporting senior leadership is preferred.
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Strong written and verbal communication skills.
  • High level of organization, discretion, and professionalism.
