Executive Assistant and Legal Operations Coordinator


Location: Raleigh, North Carolina

Department: Law & Compliance

Reports to: Chief of Staff, Law & Compliance

Supports: Chief Legal & Government Affairs Officer and Corporate Secretary

Role Overview

The Executive Assistant & Legal Operations Administrator plays a central role in enabling the effectiveness of the Law & Compliance function. This position combines high-impact executive support to the Senior Vice President, Chief Legal & Government Affairs Officer and Corporate Secretary with operational coordination across legal, compliance, and external partners.

Operating at the intersection of executive administration and legal operations, this role requires sound judgment, discretion, and the ability to anticipate needs, streamline processes, and drive organization across a fast-moving, global function.

Key Responsibilities

Executive Support

  • Manage complex calendar, prioritization, and scheduling across internal and external stakeholders

  • Expertly coordinate domestic and international travel, including detailed itineraries and logistics

  • Serve as a trusted gatekeeper and liaison

  • Support Board- and executive-level meeting preparation, including materials coordination and logistics 

  • Prepare, edit, and manage correspondence, presentations, and briefing materials

Legal Operations & Administrative Coordination

  • Support day-to-day legal operations, including matter tracking, outside counsel coordination, and invoice processing

  • Partner with the Chief of Staff to drive operational rhythm (team meetings, agendas, follow-ups, and reporting)

  • Assist with budgeting processes, accrual tracking, and vendor management

  • Help track priorities, deadlines, and deliverables across the department

  • Identify opportunities to improve processes, efficiency, and communication

Qualifications

  • High school diploma or GED equivalent is required.  Bachelor's degree in a related field is preferred.
  • 3-5 years of experience in executive support, legal operations, or a similar role in a corporate environment

  • Experience supporting senior executives (C-level preferred)

  • Strong organizational and project management skills with exceptional attention to detail

  • High level of discretion and professionalism in handling sensitive information

  • Ability to manage competing priorities and operate with urgency and independence

  • Demonstrated experience leveraging AI-enabled tools to improve efficiency, streamline workflows, and enhance output quality

  • Proficiency with Microsoft Office, collaboration tools, and legal or financial systems

  • Event planning and event support experience
