The Executive Assistant will support the Chief Financial Officer (CFO) for Bessemer Trust, a family office overseeing more than $250 billion in assets for over 3,000 individuals and families of substantial wealth, and Bessemer Securities Corporation, private family investment company founded in 1911 with a diverse portfolio. The Executive Assistant will provide seamless administrative support and serve as a liaison with key internal and external constituencies, requiring a clear understanding of the firm's priorities and the ability to build effective working relationships across departments and seniority levels.

Responsibilities:
- Handles highly confidential financial, organizational, and personnel-related information with discretion
- Manages very active calendars in Outlook, prioritizing conflicting scheduling needs to handle matters expeditiously
- Proactively tracks key deliverables, tasks, approvals, and deadlines on behalf of the CFO, while ensuring the CFO is well-informed on upcoming meetings, commitments, and responsibilities
- Supports the preparation, coordination, and distribution of materials for Board, Executive Committee, and other finance and leadership meetings
- Partners closely with Finance, Legal, HR, Compliance, and other internal teams on time-sensitive requests
- Coordinates internal and external meetings, including reserving conference rooms, setting up videoconferencing, catering, and making restaurant reservations; assists with onsite and/or offsite meeting logistics and location
- Plans and arranges travel in Concur for air, hotel, and transportation; prepares expense reports; and provides itineraries, agendas, and relevant background information for associated meetings
- Handles incoming calls, assesses the urgency of situations, and determines necessary involvement of managers or other members of the senior management team
- Attends meetings, produces the agenda, takes notes, and follows up on decisions and action items as needed
- Transforms draft presentations — given as rough PowerPoint slides or written notes — into polished slides using standardized templates, incorporating bullets, diagrams, pictures, and multimedia
- Assists with invoice processing, vendor coordination, budget tracking, or other finance-related administrative tasks as needed
Qualifications
- Bachelor's degree strongly preferred
- Minimum 6–10 years of successful experience, preferably in a client-driven, technology, banking, or financial environment supporting senior executives
- Demonstrated ability to prioritize and manage multiple projects concurrently
- Advanced proficiency in Microsoft Office (Word, PowerPoint, Excel) and Adobe; knowledge of Concur and DocuSign a plus
- Exceptional interpersonal and organizational skills; friendly and professional demeanor with strong verbal and written communication skills, a high level of accuracy, and responsiveness
- Excellent attention to detail and uncompromising commitment to quality and client service
- Proven ability to work well in and contribute to a team environment
- Flexibility to work overtime, sometimes with limited notice
- Ability to spend time in Woodbridge, NJ office as needed
The base salary range for this position is $120,000- $140,000 per year. This range reflects the minimum and maximum base salary we reasonably expect to pay for this role. In addition, this position may be eligible to participate in the relevant business unit’s incentive compensation plan, and other compensation programs as applicable. Eligible employees may participate in a 401(k) program with a generous profit-sharing contribution, medical, prescription dental, and vision coverage; life insurance; disability coverage; paid holidays; vacation; and sick time, subject to plan terms and Company policies.
