We are seeking an experienced Executive Assistant to provide high-level administrative support to the CEO, Executive Leadership Team, and Board of Directors while serving as a key liaison across the organization.
What You'll Do
- Provide comprehensive administrative support to the CEO, Board of Directors, and executive leadership team
- Manage complex calendars, schedules, travel arrangements, meetings, and special events
- Coordinate Board and Committee meetings, including agenda preparation, meeting materials, minutes, room logistics, and follow-up on action items
- Serve as a liaison between executive leadership, the Board of Directors, physicians, staff, and external stakeholders
- Draft, review, and distribute professional correspondence, reports, presentations, and executive communications
- Screen and prioritize incoming calls, emails, correspondence, and requests, ensuring timely responses and follow-up
- Communicate executive directives and monitor progress on assignments and organizational initiatives
- Support project management activities by tracking deadlines, deliverables, and strategic priorities
- Maintain confidential records, meeting minutes, files, and administrative systems
- Coordinate executive expense reports, travel arrangements, invitations, and special events
- Update and maintain executive and Board-related information on organizational systems and intranet platforms
- Handle sensitive and confidential information with the highest level of discretion and professionalism

- Exceptional organizational, communication, and time management skills
- Ability to manage multiple priorities and competing deadlines in a fast-paced environment
- Strong business writing, editing, and presentation preparation skills
- Excellent interpersonal skills with the ability to communicate professionally with executives, Board members, physicians, staff, and community stakeholders
- Sound judgment, diplomacy, and discretion when handling confidential information
- Strong attention to detail and commitment to accuracy
- Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
- Ability to work independently while anticipating executive and organizational needs
Experience
- Minimum five (5) years of Executive Assistant experience supporting senior executives required
- Experience supporting C-suite leaders, healthcare executives, or Boards of Directors strongly preferred
Education
- High school diploma or equivalent required
- Bachelor's degree preferred
Requirements
- LA City Fire Card certification required within 30 days of hire
