JOB DESCRIPTION
HR MGMT 10, LLC is seeking a highly organized and detail-oriented Executive Assistant to provide critical support to senior leadership. Based at our Headquarters, this role is responsible for managing executive schedules, coordinating communications, and ensuring efficient operations within the Executive Office. The ideal candidate is a proactive problem-solver with excellent communication skills and the ability to thrive in a fast-paced, dynamic environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Executive Support
- Manage executive calendars, including scheduling meetings, coordinating appointments, and organizing travel arrangements.
- Prepare meeting agendas, materials, and presentations for internal and external engagements.
- Serve as the point of contact between executives and internal/external stakeholders, managing correspondence with professionalism and discretion.
- Draft, proofread, and edit emails, reports, and other documents.
Project Coordination
- Support executives in managing key projects, tracking progress, deadlines, and deliverables.
- Collaborate with departments to ensure alignment on organizational priorities and initiatives.
- Conduct research and compile data to support strategic decision-making.
Administrative Management
- Manage expense reports, reimbursements, and executive budgets.
- Maintain organized systems for document storage, both physical and digital.
- Handle special requests and ad hoc tasks to assist executives in achieving organizational goals.
Communication and Relationship Building
- Facilitate clear communication across teams and departments on behalf of executives.
- Build and maintain strong relationships with internal staff, clients, and external partners.
- Exercise confidentiality and discretion in handling sensitive information.
QUALIFICATIONS
Education and Experience
- Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
- 3-5 years of experience as an Executive Assistant or in a similar role supporting senior leadership.
Technical Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with project management tools (e.g., Asana, Trello) and virtual communication platforms (e.g., Zoom, Teams).
- Strong technical aptitude to quickly learn new software and tools.
